Job description

Job summary
The Sales Coordinator is responsible for sales support execution, POS aggregation and reporting, planning liaison from sales to the supply team, retail analytics, customer meeting support and administrative sales functions that support both national account and independent retail customers. This role delivers accurate reporting, data analysis and collaboration with all departments within Hestan.
Key Responsibilities
Retail Account Support
  • Support national, regional and independent specialty accounts sales teams
  • Manage new account setup process internally.
  • Maintain the master customer list, pricing, and rep group assignments and commissions.
  • Help facilitate gourmet retailers and reps using B2B portal to get orders entered and processed as we roll out to retailers.

POS Aggregation, Reporting & Analysis
  • Aggregate POS data from retailer portals, data providers, and internal systems
  • Produce and distribute weekly trended POS reports for our key retailers
  • Analyze sell-through, trends, distribution, and promotional performance
  • Prepare selling analysis by customer, by collection, and by SKU on a regular basis
  • Support customer meeting sales presentations with key datasets
  • Prepare quarterly and annual best sellers' recap and year-end performance summaries

Sales Reporting & Incentives
  • Prepare and distribute monthly sales reports by rep group
  • Generate monthly sales rep commission reports
  • Produce quarterly actual sales vs. budget and forecast goal reports
  • Process sales associate incentive programs, including tracking and payouts
  • Process and track all registry orders

Promotions, Pricing & Programs
  • Maintain current price lists and promotional pricing
  • Manage updates for national promotions for Hestan
  • Ensure pricing accuracy across internal systems and customer-facing documents

Item Setup & Product Support
  • Support new item launch success by overseeing setup, maintenance and launch at retail accounts, including setting up SKUs, helping aggregate preliminary forecasts, assets distribution and availability communication.
  • Work with sales manager to set up items and content within retailer portals

  • Manage allocations and reservations in coordination with sales and operations
  • Coordinate and track sales samples for sales reps, retailers, and hospitality customers

Cross-Functional Coordination
  • Partner with Sales, Supply, Operations, Finance, and Marketing to support account needs
  • Aggregate sales and account forecasts on a monthly basis and be point person representing sales to the supply team.
  • Help team track and analyze inventory flow and communicate where there are trend changes and discrepancies.
  • Support account sales, rep groups, and hospitality partners with data and follow-up
  • Escalate account, pricing, or quoting issues to resolution
  • Ensure SOPs are created for all tasks.

Qualifications
  • Experience supporting national accounts, specialty/independent retail, or rep group models a plus
  • Self-directed; thrives with recurring responsibilities that must run reliably without supervision
  • Strong written and verbal communication; able to translate data into plain-language takeaways for sales leaders and retail partners
  • Proven ability to work cross-functionally with supply chain, marketing, operations, product development and merchandising and finance
  • Professional, service-oriented presence with external partners - rep groups, retailers, and hospitality customers
  • Ability to manage recurring deadlines across multiple workstreams (weekly POS reports, monthly commissions, quarterly recaps) without reminders
  • Exceptional attention to detail and accuracy, particularly with pricing, commissions, and customer-facing documents
  • Working knowledge of ERP systems (NetSuite experience a plus) and comfort learning retailer B2B platforms
