JOB OVERVIEW
Job Description
The Target Hiring Range for this position is: $69,000-$74,000
The Senate Sergeant at Arms (SAA) is currently seeking a highly skilled and dedicated Logistics and Operations Specialist to join our Printing Graphics and Direct Mail (PGDM) team. In this role, you will be responsible for providing exceptional warehouse support, monitoring, tracking incoming requests, and maintaining accurate asset inventory using an asset management application. Your contributions will be crucial in managing all aspects of logistical processes, this includes effective communication, proficient utilization of warehouse equipment, and providing reliable Senate Fleet Vehicle transportation support for Senate materials, all aimed at delivering the highest quality of service and warehouse support to the Senate community. As a Logistics and Operations Specialist, you will also be tasked with a wide range of logistics and operations duties, primarily focused on managing and delivering various materials. This may include the delivery of office IT equipment, office furniture, consumable supplies, historical documents, and artifacts for Senate offices. Your responsibilities will extend to conducting inventories, staging, organizing, receiving, decommissioning, recycling, and disposing of items throughout the Senate complex. Furthermore, you will be responsible for daily tracking of warehouse and delivery activities/statistics for user requests. By joining our team, you will become an integral part of PGDM's vital support system for logistical needs. Key Accountabilities/Essential Job Duties
Creates, manages and monitors purchase orders (POs) for newly requested equipment, SAA furniture, and supplies; assists in renewal and cancellation of office equipment rental and maintenance contracts; performs receiving process for PGDM and other SAA Departments. Advises originating office when equipment is received; places items in storage; processes equipment returned from other Senate locations and restocks reusable items. Monitors and tracks incoming requests, retrieving orders according to quantity, barcode, while ensuring accuracy. Locates requested material in the warehouse by using a pick ticket (pull report) by location. Receives and stages Senate material in the proper location in at the warehouse by using put away reports, as well as closing pending procurement orders in SAA inventory tracking system. Provides support to offices in the packaging of oversized items for mail distribution, as well as providing support in ordering and delivering boxes for customers. Employs knowledge of USPS standards for appropriate packaging, labeling, weighing and addressing of priority packaging. Updates SAA inventory management system; enters and updates systems and databases for tracking equipment and supplies; researches and processes invoices, POs, and contracts; keeps pending file of all equipment ordered; generates reports. Handles all aspects of flag processes with Senate customers, the Secretary of the Senate and AOC contacts, along with communication and tracking handled by other PGDM section participants to intake, fly, mail, and ensure billing accountability of order of flags flown over the US Capitol. Processes flag orders using job management applications and review each flag for correctness before delivery to the constituent. Uses the mail system to calculate the amount of postage using postal zip code and weight and ship each flag to the mailer. Other duties as assigned.
JOB SPECIFICATIONS
Required Education
High school diploma (or GED).
Required Work Experience
  • One to three years of experience which provided familiarity with operation of office equipment and a basic understanding of inventory methods.

Required Special Skills/ Knowledge

  • Knowledge of modern inventory control, materials management, and asset management practices.
  • Knowledge of, or ability to learn procurement rules and regulations pertaining to Senate's financial and inventory management systems.

  • Ability to work on stock picker elevated above 30' above ground level.
  • Ability to enter and keep accurate computerized records.
  • Ability to test and make minor equipment repairs.
  • Ability to understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with supervisor, co-workers and customers.
  • Physical strength, agility, and dexterity required to perform the work.
  • Ability to learn traffic routes and the location of governmental buildings and installations in and around the Washington, D.C. area in confined spaces.
  • Ability to communicate effectively.
  • This position may require the incumbent to be available for sudden recall in response to emergency events affecting the Senate campus/community, which may include after-hour or weekend work, and to potentially deploy to alternate sites in support of the Senate's contingency operations.
  • Possession of a valid driver's license for at least three years and a good driving record.
  • Pallet jack certification.

Working Conditions
  • Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during a lapse, in inclement weather, on holidays, and during late night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted.
  • This position directly supports essential services of the U.S. Senate. As such, this position requires the employee be available and prepared to work during a lapse, in inclement weather, on holidays, weekends, and during late nights to ensure essential services to the Senate continue without interruption.   • The person in this position needs to occasionally move, bend, crawl, and stand for long durations.
  • Frequently moves boxes/ equipment weighing less than 50 pounds for various needs.
  • Work exposes the employee to excessive noise.
  • Work requires operation of powered industrial trucks (like forklift, pallet jacks, scissor lift etc.
  • Work requires employee to wear uniforms.

CONDITIONS OF EMPLOYMENT
To be employed by a Senate employing office in a paid position in the continental United States an individual must:
1. Be a U.S. citizen;
2. Be lawfully admitted for permanent residence and seeking citizenship as outlined in 8 U.S.C. § 1324b(a)(3)(B);
