Mast Roofing & Construction in Oley, PA is seeking a full-time Office Administrator / Business Administrator / Office Manager (DOE) to help lead the daily administrative, financial, and people operations of our growing company with precision, accountability, and professionalism. This is a high-responsibility position for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in keeping systems, communication, and operations running smoothly.

This full-time position requires flexibility, strong organizational ability, and a solutionsfocused mindset. The ideal candidate is motivated to work 45-50 hours per week and can confidently balance administrative support, payroll, accounts payable and receivable, HR coordination, scheduling, and company event planning while maintaining exceptional attention to detail.

A DAY IN THE LIFE OF AN OFFICE ADMINISTRATOR / BUSINESS ADMINISTRATOR / OFFICE MANAGER

As the Office Administrator / Business Administrator / Office Manager, you play a critical role in the overall success of Mast Roofing & Construction. You help create an organized, responsive, and professional environment that supports our employees, clients, vendors, and leadership team. You are often the operational hub of the company - balancing priorities, solving problems quickly, and ensuring important details never fall through the cracks.

You oversee accounts payable and receivable, process weekly payroll accurately and on time, maintain employee records and benefit programs, support recruiting and onboarding efforts, coordinate company events, and help ensure the office operates efficiently each day. You are comfortable managing shifting priorities while remaining detail-oriented, systematic, and dependable.

You communicate clearly and professionally, maintain confidentiality, and hold yourself to a high standard of integrity and accountability. You proactively identify issues, follow through on responsibilities, and help improve systems and processes whenever possible. Your ability to stay organized, adaptable, and people-focused directly contributes to the strength of our team and the experience of our clients.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

  • Oversee Accounts Receivable and Accounts Payable while maintaining strong vendor and client relationships
  • Process weekly payroll accurately and on time, including commissions, PTO, deductions, and employee compensation updates
  • Provide reliable Human Resources support including recruiting coordination, onboarding, offboarding, and employee records management
  • Coordinate company meetings, training events, team functions, travel arrangements, and company-wide events
  • Maintain organized calendars, schedules, and internal administrative systems
  • Monitor bank accounts, credit card accounts, deposits, and financial activity daily
  • Assist leadership with reports, documentation, compliance, and operational administrative support
  • Maintain a clean, organized, and professional office environment
  • Communicate professionally and effectively with employees, vendors, customers, and leadership
  • Help strengthen company culture through professionalism, responsiveness, consistency, and servant leadership

PREFERRED QUALIFICATIONS

  • Minimum 3 years of administrative, office management, bookkeeping, HR, or business operations experience preferred
  • QuickBooks Online experience preferred
  • Strong organizational ability and attention to detail
  • Ability to manage multiple priorities and shifting responsibilities efficiently
  • Strong analytical, problem-solving, and decision-making skills
  • Professional communication skills - both verbal and written
  • Experience with QuickBooks, payroll systems, spreadsheets, and general office software preferred
  • Ability to maintain confidentiality and professionalism at all times
  • Dependable, accountable, and self-motivated
  • Ability to work effectively under pressure while maintaining accuracy and consistency

SERVICE AREAS

This is not a hybrid or remote role. This is a full-time onsite position at our company offices in Oley, PA that supports our operations throughout Berks County and surrounding areas, including Reading and Allentown, PA.
