Paralegal
Description
The Paralegal provides legal and administrative support in employment law, workers' compensation, litigation management, and regulatory compliance. This position manages workers' compensation claims from inception through resolution, coordinates with attorneys, insurance carriers, third-party administrators (TPAs), medical providers, and government agencies, and represents the company by attending workers' compensation hearings and related legal proceedings as authorized. The role also assists with employment-related investigations, legal documentation, risk management, and compliance initiatives.
Essential Duties and Responsibilities
Workers' Compensation Administration
  • Manage all workers' compensation claims from initial injury through claim closure.
  • Coordinate communication with injured employees, supervisors, insurance carriers, TPAs, and medical providers.
  • Maintain accurate claim files and documentation.
  • Monitor claim status, treatment plans, temporary disability benefits, and return-to-work programs.
  • Review claim reserves and recommend strategies to reduce claim costs.
  • Identify potential fraud, subrogation opportunities, and risk trends.
  • Coordinate modified duty and return-to-work accommodations.

Hearing & Legal Support
  • Attend workers' compensation hearings, mandatory settlement conferences, mediations, and depositions as the company representative when appropriate.
  • Coordinate hearing preparation with outside legal counsel.
  • Gather and organize evidence, witness statements, payroll records, personnel files, and medical documentation.
  • Assist attorneys with case strategy and litigation support.
  • Prepare hearing summaries and management reports following legal proceedings.
  • Maintain litigation calendars and monitor court deadlines.

Employment Law Support
  • Assist with internal workplace investigations.
  • Draft legal correspondence and employment-related documents.
  • Prepare responses to administrative agencies, including the EEOC, Labor Commissioner, OSHA, and other regulatory bodies.
  • Maintain legal files and confidential records.
  • Support compliance with California employment laws and regulations.

Risk Management & Compliance
  • Identify workplace trends contributing to injuries and legal exposure.
  • Assist in developing policies that reduce organizational risk.
  • Monitor compliance with workers' compensation regulations and reporting requirements.
  • Coordinate OSHA documentation and injury reporting when necessary.
  • Maintain legal compliance tracking systems.

Administrative Responsibilities
  • Maintain confidential legal databases and case management systems.
  • Schedule hearings, depositions, and attorney meetings.
  • Prepare legal reports for executive leadership.
  • Assist with contract review and document management.
  • Support special legal projects as assigned.
  • Mail and documentation review, retention, and execution.

Position Requirements
Qualifications
  • Associate or bachelor's degree preferred.
  • Paralegal Certificate from an ABA-approved or accredited program preferred.
  • Minimum 3 years of paralegal experience.
  • Experience in workers' compensation, employment law, or labor law preferred.
  • Experience representing employers in workers' compensation matters is highly desirable.
  • Knowledge of California Workers' Compensation laws and procedures preferred.
  • Experience working with insurance carriers, TPAs, and defense counsel.
  • Proficient in Microsoft Office Suite and legal case management software.
