The Risk Management Assistant supports the company's insurance and risk management program across its waterfront portfolio. This role is responsible for day-to-day insurance administration, claims management, and compliance activities, while providing critical support to leadership through risk reporting and operational coordination. The position requires strong organizational skills, attention to detail, and the ability to work effectively with internal teams and external partners. The Risk Management Assistant reports to the VP, Risk.

Essential Duties and Responsibilities:

Insurance Program Administration
  • Assist with insurance renewals, audits, and policy updates by gathering and submitting required information.
  • Process and track certificates of insurance.
  • Support administration of the Origami RMIS system.
  • Track invoices and coordinate premium and claim-related payments.
  • Notify carriers and brokers of property changes (additions/deletions).
  • Collect data for annual insurance applications and reporting requirements.

Claims Support & Administration

  • Track and manage claims (workers' compensation, general liability, auto liability, property, and subrogation) from initial report through closure.
  • Coordinate with brokers, carriers, TPAs, adjusters, and legal teams to monitor timely claims handling and resolution.
  • Assist with workers' compensation cases, including OSHA incident reporting, recordkeeping, and return-to-work program support.
  • Gather records, respond to subpoenas, and support legal/HR teams during litigation or claims defense.
  • Provide direct support to operations staff with claim handling and follow-up.

Risk Reporting & Documentation

  • Monitor loss runs and incident trends using RMIS; prepare regular reports for leadership.
  • Compile and distribute quarterly workers' compensation and claims reports.
  • Maintain organized files and records for all insurance-related documentation.

Collaboration & General Support

  • Liaise between properties, brokers, adjusters, and insurance carriers.
  • Provide training and guidance to staff on claims procedures and reporting requirements.
  • Support executive leadership and risk management team with special projects and daily operational needs.

OSHA & Safety Compliance

  • Ensure compliance with OSHA recordkeeping and annual 300 reporting requirements.
  • Maintain OSHA logs, postings, and electronic submissions for all locations.
  • Assist field staff with incident reporting procedures and safety-related questions.
  • Other Duties as assigned by Manager.

Safety and Environmental Responsibilities:

  • Follow SHM Safety and Environmental rules and complete required related training.
  • Wear proper personal protective equipment as required for the task or work area.
  • Report all accidents, injuries, spills and near misses immediately.
  • Enforces safety on all SHM projects.

Technical and Physical Requirements:

Experience

  • 5+ years of insurance, risk management, claims management, or loss prevention experience preferred.
  • Experience working with or within the broker/carrier industry preferred.
  • Solid knowledge of commercial general liability, auto liability, property, pollution liability, and professional liability coverages.

Technical Proficiency

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with RMIS platforms such as Origami preferred.

Physical Requirements

  • Ability to walk property sites as needed.
  • Frequent computer use, including typing, writing, and operating standard office equipment.
  • Ability to sit or stand for long periods of time
  • Ability to lift 25 pounds
