Description
This part-time position is responsible for coordinating final event details for incoming Guest Groups, communicating their facility needs to FVCA staff, preparing retreat hosts, and ensuring that all necessary arrangements are in place prior to guest arrivals.
Requirements
Position Responsibilities: To help ensure an exceptional experience for our guest groups by understanding their needs, coordinating setup, meals (if applicable), and other FVCA services, preparing Retreat Hosts and staff, and ensuring that all necessary arrangements are in place prior to guest arrivals. Responsibilities include:
  • Contacting guest groups with upcoming events to gain a clear understanding of their needs, including arrival times, meals, room setups, AV requirements, and other event details.
  • Collecting required paperwork and documentation from guest groups, including certificates of insurance (COIs), Guest Setup Checklists, and other necessary forms. Coordinating with FVCA staff, including the facility team, retreat hosts, and food service staff to ensure readiness for guest arrivals.
  • Training, coordinating, scheduling, and coaching the Guest Group Hosts
  • Representing FVCA and communicating guest expectations, policies, and facility guidelines, to guide guests in using the campus responsibly and respectfully. Maintaining accurate event records and guest information to support final billing and event evaluation.
  • Post event follow up with our team
  • Participating in other supportive functions of the ministry

Qualifications:
  • Passionate Christ-follower with a heart for serving families in under-resourced communities; this is a qualified ministry position.
  • Strong administrative, organizational, communication, and hospitality skills, with exceptional attention to detail.
  • Proficient in Google Suite Apps (Docs, Sheets, Calendar, Email, etc.)
  • Reliable, resourceful, self-motivated, team oriented, and able to solve problems independently while working effectively with people from a wide variety of backgrounds. ,
  • At least 5 years of work experience preferably in administration, ministry, or hospitality
  • Live within reasonable proximity to the FVCA campus (approximately 15-20 minutes) to be available for host support if needed.
  • Willing to work flexible hours to accommodate guest needs or internal ministry events.
  • Preferred, not required, fluent in English and Spanish.

Since 1977 FVCA has served children and families in low-income communities in Elgin, Carpentersville, and Aurora. The school districts serving these communities identify 40,000 children coming from low-income families within 15 miles of our campus. We have an 85 acre Christian camp and conference center where we provide a completely free overnight summer camp and weekly after-school programs for children and teenagers from our local communities. We partner with the local church in our ministry because we believe that it is God's design for all believers to be discipled in the context of a local church. It is our vision to see every child and family that we serve growing in a life-transforming relationship with Jesus through the church. Our commitment is to provide a variety of activities where children and families can take their "next step with Jesus." For some the next step is a first time commitment; for others the next step may be a re-commitment to walk with Jesus; for others their next step may be walking with a Savior that they have been committed to for years. As our children become teenagers we also provide opportunities for them to explore future college and career opportunities; to create a vision and a plan for their future.
Salary Description
$18 an Hour plus commission
