Wayfare Tavern is a celebrated fine dining destination in the heart of San Francisco, known for elevated American cuisine, exceptional hospitality, and memorable private events. We're looking for a detail-oriented, highly organized Event Coordinator to support our Event Sales Manager and help bring our private dining events to life — from first contract to final toast.

What You'll Do

Event Planning & Coordination

  • Support the Event Sales Manager in planning and coordinating all aspects of private dining events, from contract through execution
  • Follow up with clients once events are contracted to provide menus, planning questionnaires, timelines, and setup/breakdown guidance
  • Create, maintain, and continuously update detailed Banquet Event Orders (BEOs), ensuring every department has the most current information
  • Distribute updated BEOs to kitchen, events, and operations teams in a timely manner
  • Coordinate event logistics including room setup, floor plans, audiovisual needs, décor, and special requests
  • Build and organize complete event folders for each event, including menus, floor plans, timelines, and key documentation

Client Communication & Service

  • Serve as an additional point of contact for clients throughout the planning process
  • Respond promptly and professionally to client inquiries via email and phone
  • Confirm event details, dietary restrictions, and special accommodations ahead of each event
  • Conduct post-event follow-up, including closing checks and gathering client feedback

Cross-Department Coordination

  • Collaborate with the culinary team to finalize menus, dietary requirements, and event timing
  • Work with the beverage team on wine selections, bar service, and specialty cocktails
  • Communicate with event staff on room setup, equipment, and technical requirements

Administrative & Systems Support

  • Maintain and update the event calendar and booking system
  • Track event receipts and assist with reconciling final invoices with the finance department
  • Support CRM data entry, reporting, and event metrics
  • Help keep event menus and related content updated on the website
