Job description

Essential Functions:

  • Provide general administrative support to the Unified Work and Resource Development teams, including scheduling meetings, managing calendars, and handling correspondence
  • Prepare and format documents, reports, presentations, and meeting minutes
  • Support event and training logistics, such as room booking, registration, materials preparation, and follow-up
  • Maintain databases, contact lists, and files (both digital and hard copy)
  • Assist with data entry, tracking participation metrics, and compiling reports
  • Process invoices, receipts, and basic expense tracking
  • Respond to phone calls and general inquiries in a professional and timely manner
  • Assist with communications such as newsletters, outreach emails, and social media coordination
  • Provide logistical and clerical support for grant proposals, reports, or presentations
  • Provide support to both teams through making outreach calls, support planning and logistics for events.
  • Support team with accessibility and inclusion practices in administrative materials
  • Adhere to all current company policies.
  • Maintain highest levels of ethics and confidentiality.
  • Other duties as assigned to support Unified Work and Resource Development Initiatives

 

Qualification:

  • High school diploma or equivalent required; Associate’s degree or administrative certification preferred
  • 2+ years of administrative experience, preferably in nonprofit, education, or workforce development settings
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office Suite, Google Workspace, and virtual meeting platforms (Zoom, Teams, etc.)
  • Excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Experience working with or supporting people with disabilities is a plus
  • Commitment to diversity, equity, and inclusion
  • Satisfactory completion of a criminal background check.
  • Verified eligibility for employment in the United States.

 

Environment and Physical Demands:

  • Traditional work week (M-F), with MDI core hours. Work during non-traditional hours periodically required.
  • Works in an office setting, but will occasionally work in typical manufacturing & production environment (high noise levels, machinery, conveyors, dust, chemicals, odors, and temperature fluctuations.)
  • Specific vision abilities required.
  • Continuously use standard office equipment.
  • Will occasionally stand, walk, stoop, kneel, crouch, and lift more than 5 lbs.
  • Some travel or local event support may be required
  • Must be comfortable working in a team that values inclusion and collaboration
