Essential Job Duties
The Reservations Manager plays a key role within the NC State Student Centers team, overseeing the daily operations of the reservations unit and ensuring exceptional service delivery for campus and external clients. This position supervises the reservations staff responsible for managing reservations, client communications, and event logistics across Talley Student Union, Witherspoon Student Center, Harris Field, Stafford Commons, and other outdoor locations.
As a hands-on operational leader, the Reservations Manager processes reservation and event requests, guides clients through event planning requirements, and coordinates services with campus partners to ensure seamless event execution.
Key Responsibilities:
  • Operational Strategy - Develop and implement efficient processes for handling reservation requests and managing event services, including prioritizing event requests based on event size, complexity, and venue requirements.
  • Client Coordination - Confirm reservations, meet with clients for complex events, and determine event setup and audio-visual needs.
  • Campus Partner Collaboration - Coordinate event services with catering, security, streaming/recording, transportation, fire and life safety, risk management, grounds, building services, and other university partners.
  • Risk & Emergency Management - Serve as the department's primary contact for Emergency Management and Mission Continuity for high-risk events and day-of risk mitigation.
  • Staff Supervision - Hire, train, schedule, and evaluate the reservations staff.

Qualifications
Minimum Experience/Education
Graduation from high school and two years of progressively responsible administrative/office management experience; including some experience as a lead worker; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Preferred Qualifications
  • Experience in large student union events or similar environments.
  • Experience with Mazevo or EMS (event management), Google Workspace, Calendly, and Trello.
  • Knowledge of state, UNC System, and University PRRs related to Use of University Space for events and solicitation.
  • Strong written and verbal communication skills to effectively communicate with customers, peers, and supervisors; and professionally communicate with multiple levels of employees within the University.
  • Ability to work in a fast-paced environment with strict deadlines.

  • Valid NC Driver's License required within 60 days of hire. State vehicle furnished to drive to events or other Campus Enterprises locations.
