This role centers on high-touch executive coordination - complex scheduling, candidate travel, and seamless logistics - and is well suited to someone with executive assistant, executive support, or coordination experience. With guidance from experienced leaders, you will be pivotal in enhancing our candidate experience and contributing to the following areas:
Interview and Executive Coordination: Utilize automated scheduling tools to coordinate interviews across multiple leaders, calendars, and time zones, meticulously track candidate progress throughout the interview process, ensure timely communication, and welcome candidates visiting our McLean, VA office. This position entails a hybrid work arrangement, with presence at our McLean, VA office for three days per week.
Candidate Travel and Logistics: Own end-to-end travel arrangements for candidates and visiting leaders, including flights, hotel accommodations, ground transportation, and dinner reservations. Manage changes, cancellations, and day-of issues in real time with minimal disruption. Prepare, submit, and reconcile associated expense reports accurately and in line with firm policy.
Executive Support: Serve as a trusted coordination partner to Talent leadership by protecting calendar time, resolving conflicts before they surface, preparing materials ahead of interviews and debriefs, and keeping commitments on track. This work requires a high degree of independence, sound judgment, and discretion with confidential information.
Identifying Process Improvements: We value input from our coordinators, who are immersed in the logistics of our processes on a daily basis, and we encourage our coordinators to identify opportunities to enhance efficiency and enrich the candidate experience.
What You'll Do:
  • Manage complex interview scheduling across multiple leaders, calendars, and time zones
  • Serve as the primary point of contact for candidates from first outreach through offer, ensuring a white glove experience
  • Coordinate all candidate travel, including flights, hotel accommodations, ground transportation, and dinner reservations
  • Manage travel changes, cancellations, and day-of issues in real time with minimal disruption to candidates or interviewers
  • Prepare, submit, and reconcile expense reports for candidate travel and executive coordination, ensuring accuracy and policy compliance
  • Provide in-person interview facilitation support in our McLean, VA office by welcoming candidates and assisting them throughout the day
  • Support Talent leaders with calendar management, conflict resolution, and preparation of materials ahead of interviews, debriefs, and meetings
  • Assist in recruiting operations, including job creation, postings, and ensuring accurate tracking in our ATS
  • Develop and customize templates, candidate messaging, and resources to improve communication throughout the interview process
  • Build trusted relationships with executive assistants, senior leaders, recruiters, and business stakeholders to ensure seamless communication and execution of recruiting activities
  • Communicate effectively with global teams across different time zones
  • Demonstrate strong problem-solving skills, proactively implementing solutions within the talent acquisition process

What You'll Bring:
  • 2+ years of coordination experience in an executive assistant, executive support, recruiting, or human resources role
  • Bachelor's degree from an accredited college/university
  • Experience booking and managing complex travel arrangements, including flights, hotels, and reservations
  • Experience preparing and submitting expense reports (Concur, Expensify, or similar) preferred
  • Experience with Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook
  • Demonstrated ability to manage complex calendars and competing priorities with discretion and sound judgment
  • Excellent presentation, verbal, and written communication skills, with the ability to represent senior leaders professionally
  • Demonstrated experience prioritizing multiple projects, strong organizational skills, and extreme attention to detail
  • Experience utilizing an applicant tracking system (ATS) preferred but not required
  • Ability to be on-site at our McLean, Virginia office at least 3 days per week
