Main Purpose of the Role:
The Executive Assistant and Administrator provides high quality administrative support to VP Latin America Business Unit, manages daily office operations, and coordinates wellness programs to promote employee well-being, ensuring a productive and engaging workplace.
Main Tasks:
  • Meets and professionally interacts with visitors to the LABU Vice-President's office, offering hospitality and assistance.
  • Controls and communicates with all parties in regard to the LABU Vice-President's calendar for meetings and events.
  • Interact with contacts from other ZIM offices, including Israel head office.
  • Oversee daily office operations, maintain records and databases, manage office supplies, procurement activities, and vendor relationships.
  • Researches and plans all aspects of travel for the LABU Vice-President, including all related details regarding schedules, visas, travel, hotels, meeting venues, transportation, etc.
  • Handles all reimbursements and expenses for the LABU Vice-President.
  • Develop, coordinate, and promote wellness initiatives, workshops, and employee engagement activities aligned with company objectives.
  • Support planning and execution of company events, serve as the main point of contact for wellness initiatives, and monitor, evaluate, and report on program effectiveness.

Requirements
10 years of work experience, with three (3) years in a similar position
Fluent in English and Spanish (Plus)
Comprehensive knowledge of office practices, procedures, systems and equipment
Functional knowledge of Microsoft Office Suite to include Word, Excel and Power point Knowledge of organization purchasing procedures and inventory control
