Job description

Are you a highly organized professional who thrives on supporting senior leaders and keeping complex operations running smoothly? MEM Insurance is seeking an experienced Underwriting Coordinator to provide high-level administrative and operational support to the Assistant Vice President of Underwriting (AVP, UW).
In this trusted role, you will serve as a key partner to underwriting leadership, helping streamline processes, manage critical reporting, and ensure clear communication across underwriting teams. Your attention to detail, professionalism, and discretion will directly support our ability to deliver on MEM's vision, mission, and values-while contributing to a collaborative, people-first workplace.
Essential Duties and Responsibilities
  • Provide comprehensive administrative and operational support to the AVP, Underwriting in alignment with MEM's vision, mission, and values.
  • Maintain a high level of professionalism while handling sensitive and confidential information, ensuring timely communication and follow-through on priorities.
  • Monitor and analyze the Application Workflow Report across all underwriting departments, identifying issues and sharing insights, potential causes, and recommendations with underwriting leadership.
  • Prepare and deliver monthly financial and operational reports, including Rolling 12 and Budget Variance Reports, for underwriting leadership review.
  • Develop periodic and special reports using internal systems such as Guidewire, ImageRight, and iNet, as requested by the AVP, UW.
  • Manage assigned projects, coordinating across teams to meet deadlines and support departmental initiatives.
  • Coordinate travel arrangements for underwriting team members, including registrations, lodging, air and ground transportation, and detailed itineraries.
  • Assist with planning and organizing underwriting department meetings, working with internal partners and external vendors to coordinate facilities, speakers, and catering.
  • Prepare and submit expense reports for underwriting leadership and team members.
  • As capacity allows, provide part-time support to the Underwriting Service Assistant (USA) function after training.
  • Secure travel arrangements for team-members as needed, to include registration, lodging, air and ground transportation. Will prepare detailed travel itineraries for internal and external use as needed.
  • Lead end-to-end planning and coordination for company events and meetings (in-person and virtual), including defining objectives and timelines, agendas, and run-of-show materials, coordinating speakers, arranging A/V and technology needs, and managing on-site or day-of logistics.
  • Provide outstanding customer service to internal and external stakeholders; coordinate invitations/RSVP tracking, room setup, catering, and materials to ensure events are executed smoothly, within budget, and meet high quality expectations. Conduct post-event follow-up (feedback, lessons learned, final invoices/expenses) as needed.
  • Prior experience with event planning and coordination-including venue selection, agenda coordination, logistics, vendor sourcing/negotiation, budget tracking, and day-of execution-preferred.
  • Perform other related duties as assigned.

Qualifications
Education:
Bachelor's degree preferred.
Experience
  • Five or more years of progressively responsible administrative or office support experience required.
  • Experience within an insurance environment, such as an agency office or property and casualty carrier, is highly desired.
