Position Summary

The Corporate Concierge Administrator is a full-time customer service and administrative professional responsible for supporting the Corporate Concierge team and delivering an exceptional experience to business clients throughout the entire gifting lifecycle. This position serves as a primary point of contact for corporate customers by managing orders, gathering critical information, coordinating with internal teams, and ensuring orders are processed accurately and efficiently.

The Corporate Concierge Administrator builds and maintains strong relationships with clients while providing proactive communication and administrative support. This role requires exceptional organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is passionate about delivering white-glove customer service while ensuring a seamless experience for both internal and external customers.

Essential Duties & ResponsibilitiesCustomer & Client Support
  • Serve as a dedicated point of contact for corporate customers, providing professional and timely service through phone and email communications.
  • Build and maintain strong relationships with existing business clients by delivering a high level of personalized service.
  • Proactively communicate with customers regarding order status, upcoming gifting opportunities, and account needs.
  • Resolve customer questions and concerns while partnering with internal teams to ensure timely resolution.
  • Deliver a concierge-level customer experience that reflects the company's commitment to service excellence.
Order Management & Administration
  • Collect and verify all required order information including:
    • Payment information
    • Gift messages
    • Recipient addresses
    • Ship dates
    • Product selections
    • Additional order requirements
  • Process customer orders accurately and efficiently while maintaining high quality standards.
  • Create invoices and process customer transactions within internal systems.
  • Monitor orders throughout the fulfillment process and proactively communicate any issues or updates.
  • Ensure orders meet all customer specifications and are submitted with minimal errors.
Account & Operational Support
  • Maintain accurate customer records within Salesforce, CCS, and other internal systems.
  • Track customer interactions, account activity, and order updates.
  • Partner closely with Sales, Customer Service, Operations, Finance, and Fulfillment teams to ensure successful order execution.
  • Assist with reporting, account maintenance, documentation, and administrative projects.
  • Identify opportunities to improve processes, increase efficiency, and enhance the customer experience.
  • Support special projects and additional responsibilities as assigned.
Education & Experience
  • High school diploma or GED required.
  • Associate's or Bachelor's degree in Business, Communications, Hospitality, or related field preferred.
  • Minimum two (2) years of customer service, administrative support, account management, or corporate customer support experience.
  • Experience supporting business-to-business (B2B) customers preferred.
  • Experience working within CRM systems such as Salesforce is strongly preferred.
  • Experience working in a fast-paced customer service environment with multiple priorities.
