At Trinity Estate Planning, we believe estate planning is about much more than wills, trusts, and legal documents.
Every family that walks through our door is trusting us with one of the most personal conversations of their lives. We don't take that responsibility lightly. We approach every client relationship with care, compassion, and excellence because we believe details matter when people matter.
We're looking for a Client Services Director who wants to become a key part of our growing firm. This is a primarily remote, hybrid position that includes regular in-office days for training, client meetings, and team collaboration, with the flexibility to evolve as our firm's needs change.
This is much more than an administrative role.
You will often be the first voice prospective clients hear and one of the most consistent people they interact with throughout their planning journey. You'll help create an experience where clients feel welcomed, informed, cared for, and confident every step of the way.
You'll coordinate moving pieces, solve problems, improve systems, and ensure every detail is handled with care because the work we do today can affect families for generations.
One of the greatest compliments we receive is when clients say, "That was so much easier than I expected."
You'll play an important role in making that happen.
Responsibilities
What You'll Own
• Guide prospective clients through their first interactions with our firm and schedule consultations.
• Manage client communication throughout the planning process so clients always know what to expect.
• Coordinate document preparation, signings, and plan completion with the attorney and our drafting partners.
• Review work carefully to ensure names, dates, documents, and communications are accurate and complete.
• Manage our practice management systems and help ensure nothing falls through the cracks.
• Coordinate workshops, speaking engagements, and client follow-up.
• Help continually improve the client experience by identifying opportunities to make our systems more efficient, thoughtful, and reliable.
Qualifications
• Exceptional customer service and relationship-building skills.
• Excellent written and verbal communication skills.
• Strong organizational skills with exceptional attention to detail.
• Comfortable learning and using technology, including Microsoft 365 and CRM or practice management software (Clio experience is a plus but not required).
• A proactive, self-motivated approach with the ability to take ownership and solve problems independently.
• A commitment to continuous learning and improving systems and processes.
• A caring, positive attitude and a genuine desire to help people during important moments in their lives.
