Job description

This role supports a large-scale business transformation initiative by managing project lifecycle administration and maintaining accurate project data within an ERP environment. You will play a key part in project setup and closeout, billing and project accounting support, and standardizing processes following a recent ERP implementation. The position is ideal for someone with professional services, engineering, consulting, or AEC experience who thrives in a fast-paced, evolving environment and brings strong project administration and accounting knowledge.

Responsibilities

  • Manage the full project lifecycle administration process, including project setup, ongoing maintenance, updates, and project closeout activities.
  • Maintain accurate and up-to-date project records, including end dates, bill rates, and other key project data within the ERP system.
  • Ensure data accuracy, consistency, and integrity across projects during ongoing system and process improvements.
  • Support project accounting and billing functions, including invoicing, revenue tracking, and related project financial activities.
  • Assist with identifying process gaps and help develop and document standardized procedures and workflows.
  • Collaborate closely with project managers, finance teams, and operational stakeholders to resolve project-related issues and data discrepancies.
  • Monitor project information to ensure compliance with company policies, financial controls, and business requirements.
  • Participate in system-related initiatives, including ERP enhancements, testing, and process documentation efforts.
  • Generate reports and analyze project data to support operational and financial decision-making.
  • Contribute recommendations for workflow improvements, process efficiencies, and best practices in project administration.
  • Support data migration and backup activities related to project accounting and ERP initiatives.
  • Assist with timesheet and expense backup reviews to support accurate billing and project accounting.
  • Support general ledger, reconciliation, month-end activities, and accounts payable processes as they relate to project accounting.
  • Provide invoicing support, including preparing, reviewing, and submitting invoices in line with project and client requirements.
  • Perform accurate data entry and maintain organized backup files for accounting and project documentation.

Essential Skills

  • Minimum of 2+ years of experience in project administration, project accounting, billing, or a closely related role.
  • Experience supporting project lifecycle management from project setup through project closeout.
  • Strong ERP system experience, with hands-on use of enterprise-level systems; experience with Infor, Oracle, or similar platforms is preferred.
  • Knowledge of project accounting, revenue tracking, and billing processes.
  • Experience working in professional services, consulting, engineering, AEC (Architecture, Engineering, Construction), or similar environments is strongly preferred.
  • Background supporting large organizations, ideally with $500M+ in revenue.
  • Proficiency with Microsoft Excel, including pivot tables and reporting.
  • Experience with invoicing, project accounting, and accounting software tools.
  • Understanding of general ledger, reconciliation, month-end processes, and accounts payable as they relate to project work.
  • Familiarity with data migration, backup procedures, and handling accounting data.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to adapt to changing priorities and evolving processes in a fast-paced environment.
  • Strong communication and problem-solving skills, with the ability to work effectively with cross-functional teams.
  • Ability to generate and interpret project and financial reports to support decision-making.

Additional Skills & Qualifications

  • Bachelor’s degree preferred, particularly in business, accounting, finance, or a related discipline.
  • Experience with Infor PSA (Professional Services Automation) module.
  • Exposure to ERP systems such as Infor, Oracle, BST, Deltek, or similar accounting and project management platforms.
  • Experience supporting ERP implementations, system migrations, or process transformation initiatives.
  • Project accounting or revenue management experience beyond basic billing support.
  • Process improvement and documentation experience, including creating standard operating procedures and workflow documentation.
  • Experience using Adobe and working with PDF documents for invoicing and project documentation.
  • Experience with timesheet and expense backup review and reporting.
  • Familiarity with accounting software, data entry best practices, and maintaining organized backup files.
  • Reporting experience related to project performance, financial metrics, and operational dashboards.

Work Environment

This is a remote position aligned to Eastern Time, with core working hours from 8:00 AM to 5:00 PM EST. You will work in a technology-driven environment that relies heavily on ERP systems, project accounting tools, and Microsoft Excel for data analysis and reporting. Collaboration with project managers, finance teams, and operational stakeholders occurs primarily through virtual channels, requiring clear communication and responsiveness. This is a Contract to Hire position based out of Boca Raton, FL.

Pay and Benefits

The pay range for this position is $30.00 - $50.00/hr.
