About the Role

As Senior Executive Assistant, you will give the Founder and Omnichannel team more time to focus on strategic growth by owning critical administrative, operational, and project coordination work. This is a hands-on role for someone who sees what needs to happen, follows through without repeated reminders, and understands the business purpose behind each assignment. You will support projects across e-commerce, retail marketplaces, reporting, pricing, product initiatives, and partner communication. The role offers broad exposure to executive decision-making and the opportunity to become a trusted operational partner across the business.

Responsibilities

  • Own the Founderโ€™s inbox, calendar, scheduling, and daily administrative priorities so important matters receive timely attention.
  • Support the Founder and Omnichannel Account Manager with accurate, organized operational and administrative work.
  • Coordinate multiple projects from assignment through completion, keeping owners, deadlines, and next steps visible.
  • Conduct market and competitor research and translate findings into clear, decision-ready reports.
  • Build, maintain, and analyze spreadsheets and reports using Excel and Google Sheets.
  • Follow up consistently with vendors, customers, and business partners until commitments and outstanding tasks are completed.
  • Draft professional emails, send timely responses, and manage follow-ups without requiring reminders.
  • Support pricing, product, launch, and operational initiatives with an understanding of margins, fulfillment, and commercial priorities.
  • Assist with operations across Amazon, Walmart, Target, Best Buy, Walgreens, TikTok Shop, and other retail or e-commerce channels.
  • Use Claude, ChatGPT, and similar AI tools to improve speed and quality while independently validating facts, calculations, and recommendations.

Requirements

Must-Have:

  • 4 or more years of experience as an Executive Assistant supporting a founder, CEO, or senior executive.
  • Advanced proficiency in Excel and Google Sheets, including preparing and analyzing business reports.
  • Proven experience managing executive inboxes, calendars, priorities, and confidential information.
  • Strong project coordination skills with a consistent record of following through without reminders.
  • High proficiency with Google Workspace, Microsoft Office, Slack, Zoom, and project management tools.
  • Practical experience using AI tools such as Claude or ChatGPT, combined with strong independent judgment and quality control.

Nice to Have:

  • Experience in DTC e-commerce, consumer products, retail, Shopify, Amazon, or beauty and wellness.
  • Familiarity with omnichannel operations across major retailers and online marketplaces.
  • Understanding of pricing, margins, fulfillment, inventory, and other commercial concepts.
  • Experience supporting product launches, marketing initiatives, or marketplace expansion.
  • Experience conducting market research and preparing executive-level recommendations.
