Job description

Duties & Responsibilities

Supervise the daily activities of an ETF Operations team consisting of individuals varying in skill levels from entry level to Lead level operations staff.

Operations and Subject Matter Expert

  • Primary contact for ETF clients and ETF ecosystem
  • Develop/maintain strong working relationship(s) with advisors, authorized participants (APs), portfolio managers, exchanges, distributors, and custodians
  • Monitor AP activity and ensure that ETF creation/redemption orders are in good standing
  • Understand basket creation and mechanics and impact to downstream processes and systems
  • Subject matter expert for business development and client relationship management
  • Develops and maintains strategic relationships with senior business line management
  • Identifies and pursues new business opportunities and partnerships to expand the client base
  • Identifies any product gaps and develop and executes business plans to close them
  • Reconcile key accounts and resolve all exceptions on a daily basis. Report information to APs, custodians, brokers, and accounting systems
  • Provides technical, industry and client specific training
  • Amend or add new policies and procedures as needed

Personnel Management

  • Manage an ETF Operations team of 2-5 members with varying levels of experience
  • Fosters a collaborative and innovative culture within the team
  • Manages associate time, salary, and performance records; initiates change of assignments, salary increases, conducts performance appraisals and management activities, and recommends staffing changes
  • Develop and communicate performance objectives and individual development plans
  • Collaborate with Human Resources on any disciplinary action needed
  • Manage ETF Operations workload and act as escalation point for any issues the team is experiencing
  • Coordinate training of Fund Accounting and Fund Administration staff to ensure consistency
  • Assess training opportunities and develop training programs accordingly and present training materials to the department as needed

Onboarding

  • Manage client launches, including working with the advisor to establish the appropriate fund set-up, reporting needs, trade delivery methods, etc. to ensure a smooth transition
  • Work with assigned relationship manager for ensure onboarding execution
  • Partner with various internal/external parties to ensure compliance with SEC, IRS, and GAAP reporting regulations.
  • Other duties as assigned.

Knowledge & Skills

MINIMUM:

  • Excellent analytical and organizational skills with strong attention to detail
  • Problem solving and initiative-taking
  • Advanced Microsoft Office skills and advanced Excel skills. Demonstrated aptitude and experience with in-house software
  • Demonstrated managerial and teamwork skills
  • Strong understanding of the industry and the changing environment while anticipating client needs
  • Good relationship development skills and an aptitude for client service
  • Exhibit initiative in a high performing culture and have a track record of meeting or beating deadlines
  • Demonstrates excellent work habits, attendance, and attitude
  • Required to communicate effectively with clients and/or coworkers using common telecommunication and computer equipment
  • Demonstrated ability to multi-task
  • Demonstrate initiative both independently and within a diverse team or with a diverse range of people

Requirements

MINIMUM:

  • Seven (7) years ETF Operations / AP services or related experience
  • 2 years of Lead experience
  • Bachelor's degree in Accounting or Finance. or any combination of education and experience that would provide an equivalent background

PREFERRED

  • Background in fund accounting or ETF custody settlements

Work Environment:

Typical office environment. Occasional overnight travel may be required.

Position is eligible for remote hire

Supervision:

Manages a team of ETF Operations staff including oversight, hiring, selection and performance management.

Compensation Range:

$91,950.00 - $196,680.00
