Job Description

Position Overview:

The Specialist, Trustee Operations will play a critical role in supporting our trustee operations team by managing appraisals, foreclosure documentation, and client communications. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment. The successful candidate will be based in our Charlotte, NC office and will contribute to the seamless execution of trustee services across multiple states.

Key Responsibilities:

  • Coordinate and manage property appraisals, including ordering, system documentation, and resolution of issues with clients and appraisers.
  • Review and execute DNMS documents and foreclosure files for the litigation team; provide court appearances when necessary.
  • Execute and review document executions while maintaining accurate spreadsheet records and updates.
  • Serve as primary point of contact for borrower, lienholder, realtor, and attorney inquiries via phone, email, and fax, ensuring timely and professional responses.
  • Collaborate with co-counsel to address foreclosure-related issues and maintain effective communication throughout the process.
  • Manage third-party surplus files and spreadsheets for Arizona, California, Nevada, Texas, and Washington; coordinate surplus updates with legal counsel.
  • Support office operations in the Charlotte, NC location, including mail processing, phone monitoring, and visitor assistance.
  • Review, execute, and upload documents for the remote trustee team to ensure accuracy and compliance.
  • Maintain and update team manuals and procedures; provide guidance and support to team members on operational questions and issues.
  • Perform document recording and quality control reviews as part of the team effort.
  • Achieve 100% compliance with Service Level Agreements (SLAs) and client invoice submission timelines.
  • Deliver timely and accurate batching to ensure prompt vendor payments and client billing.
  • Provide responsive and accurate information to all internal and external stakeholders.
  • Generate timely and accurate reports for stakeholders across the organization.
Qualifications

Required Qualifications:

  • Experience in mortgageย trustee operations, title servicing, or foreclosure processes.
  • Current Notary Public certification.
  • Strong understanding of trustee services, processes, and procedures.
  • Demonstrated ability to work effectively as both a team contributor and independent contributor.
  • Strategic, analytical, and critical thinking skills with the ability to break down complex problems and develop actionable solutions.
  • Must be located in or commutable to Charlotte, NC, and available to work in our office-based environment.

Preferred Qualifications:

  • Prior experience with reverse mortgage services.
  • Recording experience in a title or trustee capacity.
  • Familiarity with CaseAware or similar case management systems.
  • Bachelor's degree or equivalent professional experience.
