Position Overview
We are seeking an energetic, results-driven Office Manager to lead our administrative division and play a vital role in streamlining our operational framework across various locations. This role is tailored for a candidate who is eager to make a measurable impact in a fast-paced environment, bringing a harmonious blend of analytical prowess, tenacity, and a deep-seated passion for people's wellbeing.
As an Office Manager, you will be at the epicenter of our practice, supporting an array of functionalities and collaborating with diverse teams to ensure that our services remain unparalleled in quality and efficiency. You will have the unique opportunity to carve out a rewarding career path, with this role being a substantial stepping stone towards a Director of Operations position at Kaizo Health.
Key Responsibilities
Your pivotal role will be comprised of the following responsibilities. This position would be required to travel to our 4 clinics in the DC area on a regular basis.
Administrative Duties
  • Ensuring efficient scheduling and rescheduling processes, keeping a tab on new patient scheduling numbers.
  • Facilitating seamless communication via different platforms such as the Kaizenovate app, Reviewwave, and Ringcentral.
  • Overseeing credentialing processes, maintaining up-to-date credentials on CAQH and with payers.
  • Regularly running various reports to provide insights into patient engagements and services, and taking proactive measures based on the data accrued.
  • Managing inventories and ensuring timely ordering of supplies for all clinics.
  • Reviewing and setting re-exam tasks while ensuring unbilled re-exams are adequately billed.
  • Taking up additional responsibilities as needed, demonstrating a 'whatever it takes' attitude.

Relationship Building
  • Building and fostering relationships with referral sources in the area through weekly visits including Doctors and Attorneys
  • Building and fostering relationships with other businesses to increase new patient acquisition opportunities

Revenue
  • Work with the Revenue Cycle Manager to ensure all clinics are collecting all patient balances
  • Follow up on Accounts receivables with Revenue Cycle Manager

Leadership and Team Management
  • Collaborating with the Operations and Marketing teams, filling in whenever necessary to ensure unhampered functionality.
  • Creating weekly status reports and communicating effectively with supervisors and the CEO, suggesting improvements based on the data-driven insights.
  • Assisting in the ongoing development and maintenance of the Kaizenovationu, bringing innovative solutions to the table.
  • Serving as a dependable go-to person for clinics for their daily operational needs or problem-solving.
