Job description

POSITION SUMMARY:

Under direction of the Training Team Lead, the Instructional Designer is responsible for training clinicians on the use of BMC information systems and the development, implementation, and maintenance of the Epic Training Program for Beaker and other assigned application(s). The Instructional Designer translates workflow strategies into training scripts, working independently and on teams to coordinate training activities and develop training materials, job aids, and promotional materials for the assigned application. This specialist works closely with clinical departments in developing training plans.

The Instructional Designer coordinates logistics and education materials related to training programs. Works closely with training and project teams to build and maintain training environments, ensure upkeep on all intranet content, and classroom materials. Act as a user liaison, communicating feedback from users regarding patient care systems to the application implementers. This forward-thinker identifies opportunities to improve training techniques to enhance the overall process of BMC's Epic Beaker Application.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Participate in workflow design and system build as the training consultant.
  • Develop and maintain credibility and effective working relations with the analyst team, application user groups, Clinical Leads, and end-user community.
  • Participate in the development, and maintenance of the Epic Training Program.
  • Develop and maintain high quality training materials including classroom curriculum, user guides, presentations, e-Learnings and lesson plans related to their assigned application(s).
  • Build and maintain the training environment to support various clinical and/or business roles and workflows. Prepare training environment with appropriate patient samples and content based on end-user audience.
  • Understand and navigate the system build to develop e-Learnings.
  • Train and provide support to end users and new employees on the use of the specific Epic Applications and other related workflows and business processes as needed.
  • Solicit department, subject matter expert and trainee feedback and appropriately adapt training materials, exercises and quick start guides up ensure they are up to date with EHR and workflow changes.
  • Ability to be a team player; flexible, friendly, congenial, and enthusiastic.
  • Align with other IT functional areas to remain apprised of project status to ensure we're keeping materials up to date to accommodate optimization of Epic.
  • Conversely, keep the IT group's technology and service managers aware of potential user issues and potholes or resolve conflicts.
  • Diagnose, analyze, and resolve software issues independently or by engaging the appropriate parties to achieve a resolution.
  • Document all aspects of the training plans (scope, definition, testing, delivery and support) and coordinate business/clinical and IT implementation resources for successful delivery. Actively participate in the team environment and enable colleagues to fulfill the department's operating objectives.
  • Proactively identifying opportunities to apply technologies to business processes.
  • Schedule ongoing New Hire Training classes including arranging Zoom meeting invites
  • Ensure that training facilities and/or materials are available and ready for classes.
  • Attending students in Workday (Boston Medical Center's LMS).
  • Provide publication or other informal notification of project level new material and programs.
  • Work with respective department to ensure all training materials are kept up to date and refreshed as needed.
  • Create User Group Newsletters (on a monthly basis) to ensure the department and clinical staff are aware of system changes.
  • Provide on-site user support during implementations, sometimes during non-business hours and days.
  • Conduct on going Thrive training for their respective department.
  • Participate in an on call customer support rotation during normal business hours and off hours.
  • Perform other duties as assigned or necessary which include but are not limited to participating in the planning, design, and implementation of training focused Governance approved quarterly projects in collaboration with the analyst team and project stakeholders.

JOB REQUIREMENTS

EDUCATION:

Bachelor's Degree or equivalent training experience is required.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

Epic Certification or Proficiency Required (within 90 day probation period or as otherwise arranged with manager).

EXPERIENCE:

Required:

2 + years' experience in either of the following:

  • Training in a classroom setting and / or distance / remote learning using Zoom
  • Business systems analysis, preferably across multiple hardware and software platforms or
  • Business unit experience that includes working closely with IT in the development, implementation, and training of systems.

Additional experience desired:

  • Previous experience in business process re-engineering or process improvement is desirable, involving broad-based information systems and utilizing training tools and techniques to effect business change.
  • Experience in organizing, planning, and executing projects from vision through implementation, involving internal personnel, contractors, and vendors.
  • Experience with tools to create interactive eLearning, simulation, and assessment content.
  • Experience creating lesson plans, education tools and alternative training materials for remote / distance learning.

KNOWLEDGE AND SKILLS:

  • Epic Certification is a plus (or obtained within 90 days of hire).
  • Knowledge of adult learning and teaching principals.
  • Strong presentation skills and ability to manage a classroom.
  • Understanding of project management concepts in planning and implementing multiple projects in a cross functional environment.
  • Strong written communication skills, including newsletters, project and training documents.
  • Strong verbal communication and effective presentation skills, while interacting with team members, other teams in the IT department, Clinical Leads end users, and/or other departments throughout the organization.
  • Strong analytical and conceptual skills; a demonstrated track record in new concept development for various projects and complex technical plans.
  • Ability to solve problems often spanning multiple environments in a business area.
  • Provide quality customer service and serve as an exemplary representative of Information Systems. On-going communication, feedback and follow-through with customers/peers are essential.
  • Negotiate and acquire resources as necessary to appropriately schedule training session with minimal impact to patient care.
  • Ability to be a team player; flexible, friendly, congenial, and enthusiastic.
  • Ability to multi-task.
  • Proficiency in Microsoft Office products.
  • Familiarity with Workday LMS.
  • Experience using e-Learning Modules (such as Storyline Articulate).

Compensation Range:

$62,500.00- $91,000.00

This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
