Job description

This is a remote position.

Basic Function

The Project Coordinator serves as the central point of coordination for assigned Cost Segregation projects, partnering with Clients, Sales, Engineering, and Operations teams to facilitate project execution from intake through completion. This role is responsible for tracking project progress, coordinating communications, managing documentation, and ensuring projects move efficiently through each stage of the workflow while delivering an exceptional client experience.


Position’s Intention

To drive the successful and timely completion of Cost Segregation projects by ensuring accurate project setup, proactive client and stakeholder communication, effective issue resolution, and adherence to operational standards that support client satisfaction, project profitability, and organizational growth.

  • Project issues, risks, and documentation gaps are proactively identified and resolved.

Essential Duties

  • Manage assigned projects throughout the project lifecycle, ensuring milestones, timelines, and deliverables are achieved.
  • Evaluate project documentation and determine required information, project scope requirements, and necessary follow-up actions.
  • Exercise independent judgment in prioritizing workload, project activities, and client requests to meet operational objectives.
  • Review incoming project documentation and identify deficiencies, risks, inconsistencies, and scope concerns requiring resolution.
  • Serve as the primary point of contact for clients throughout the project process.
  • Communicate directly with clients regarding project requirements, outstanding documentation, timeline expectations, and project status.
  • Schedule and lead project kickoff calls and project-related meetings.
  • Review project information and collaborate with engineering, sales, and operations teams to facilitate project progression.
  • Approve client accommodation, scheduling adjustments, and project-related decisions within established authority levels.
  • Recommend pricing adjustments, project discounts up to 10%, and client service solutions to support project success and client satisfaction.
  • Monitor project metrics and identify workflow improvements to increase efficiency and reduce turnaround times.
  • Resolve routine project escalations and coordinate appropriate corrective actions.
  • Maintain project data, documentation, reporting, and tracking systems.
  • Support process improvement initiatives and contribute recommendations that improve departmental operations.
  • Assist leadership with special projects and operational initiatives as assigned.



Requirements

Required Skills:

Education/Certification:

  • Associate’s degree (A.A.) or equivalent from a two-year college or technical school; or
  • One (1) to five (5) years of related experience and/or training; or
  • Equivalent combination of education and experience


Language & Communication Skills:

  • Excellent verbal and written communication skills
  • Ability to write reports and business correspondence
  • Ability to present information and respond to questions from managers, clients, customers, and the general public


Reasoning & Analytical Skills:

  • Ability to solve practical problems and deal with a variety of variables in situations with limited standardization
  • Ability to interpret instructions furnished in written, oral, or schedule form


Computer Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Experience with CRM systems or project management software
  • Ability to learn and adapt to new tools and systems quickly.
