Job Description:
Join Job Duck as an Intellectual Property Legal Assistant and become a key contributor in supporting intellectual property operations within a fast-paced and detail-driven environment. In this role, you will work closely with legal professionals to manage trademark filings, track critical deadlines, and maintain accurate documentation across a wide range of IP matters. Your ability to stay organized, communicate clearly, and handle high volumes of work with precision will directly impact the success of client portfolios. • Compensation Range: $1,150 to $1,220
Responsibilities include, but are not limited to:
  • Provide administrative and operational support to IP attorneys
  • Coordinate meetings, calendars, and deadlines across teams
  • Collaborate with internal teams to support brand protection initiatives
  • Prepare and file trademark applications and related documentation
  • Conduct trademark and patent research using relevant databases
  • Coordinate with international counsel for global filings
  • Assist with enforcement tasks including cease and desist letters and disputes
  • Draft and manage responses to Office Actions, Statements of Use, and other filings
  • Track deadlines and ensure timely submission of all IP related filings
  • Maintain and update intellectual property docket systems
  • Serve as a primary contact for clients regarding trademark status and updates
  • Assist with trademark intake and conduct preliminary clearance checksAssist with trademark intake and conduct preliminary clearance checks
  • Support onboarding of new clients into IP management systems
  • Prepare intake documentation, engagement letters, and track leads
  • File and organize legal documents such as declarations, assignments, and POAs
  • Maintain accurate client portfolios in internal systems
  • Support billing entries, fee tracking, and scheduling activities

Requirements:
Required Skills
• Minimum of 2 years of remote work experience required
• Strong English communication skills required
• Experience working with U.S. based companies or law firms preferred
• Prior legal or law firm experience strongly preferred
• Intellectual property experience, including trademark or patent, is a plus
• Familiarity with IP databases such as USPTO or WIPO is beneficial
• Experience handling CRM systems and document management tools is preferred
• Ability to manage multiple priorities and deadlines effectively
• Team player with a collaborative mindset
• Ability to work under pressure while maintaining accuracy
• Strong time management and organizational skills
• Experience creating systems, checklists, and structured workflows
