Position Overview:

The HubSpot Administrator is responsible for the administration, configuration, optimization, governance, and ongoing support of Strive Pharmacy's HubSpot platform.

This role serves as the primary internal owner of HubSpot and ensures the system supports effective sales, marketing, partnership, customer-service, and reporting processes. The HubSpot Administrator translates business needs into scalable CRM solutions, maintains system integrity, improves user adoption, and ensures data is accurate, secure, consistent, and actionable.

The position partners closely with Sales Leadership, Sales Enablement, Marketing, Partnerships, Operations, Analytics, Information Technology, Compliance, and other stakeholders to design workflows, manage pipelines, automate business processes, maintain integrations, and develop reporting that supports informed decision-making.

Success in this role requires deep HubSpot expertise, strong systems thinking, disciplined data governance, and the ability to balance immediate business needs with long-term platform scalability.

Key Responsibilities:

  • Serve as the primary administrator and subject-matter expert for Strive Pharmacy's HubSpot platform.
  • Configure, maintain, and optimize HubSpot Sales Hub, Marketing Hub, Service Hub, Operations Hub, and other licensed HubSpot products as applicable.
  • Manage users, teams, roles, permissions, access levels, licenses, and security settings.
  • Create and maintain contact, company, deal, ticket, custom-object, and activity properties.
  • Design and maintain sales pipelines, deal stages, ticket pipelines, lifecycle stages, lead statuses, qualification criteria, and routing rules.
  • Build, test, document, and monitor workflows, sequences, task automation, lead assignment, notifications, approvals, and other automated processes.
  • Partner with business leaders to gather requirements and translate operational needs into scalable HubSpot configurations.
  • Evaluate requests for system changes and recommend solutions that improve usability without creating unnecessary complexity or technical debt.
  • Maintain CRM architecture, naming conventions, property standards, documentation, and governance practices.
  • Monitor system performance, adoption, workflow execution, sync errors, and data-quality issues.
  • Troubleshoot user, configuration, workflow, integration, reporting, and automation issues.
  • Manage data imports, exports, updates, enrichment, cleansing, deduplication, and record-merging activities.
  • Establish and enforce data-quality standards related to required fields, record ownership, formatting, completeness, accuracy, and timeliness.
  • Conduct recurring audits of contacts, companies, deals, activities, pipelines, workflows, permissions, and system usage.
  • Create and maintain dashboards, reports, attribution models, funnel analyses, activity reporting, pipeline reporting, forecasting tools, and performance scorecards.
  • Partner with Sales Enablement and Analytics teams to define metrics, reporting standards, source-of-truth logic, and dashboard requirements.
  • Ensure reports and dashboards accurately reflect agreed-upon business definitions and operating processes.
  • Support sales forecasting, pipeline reviews, conversion analysis, lead-source reporting, activity measurement, and revenue-performance tracking.
  • Manage and support integrations between HubSpot and other systems, including data platforms, communication tools, marketing applications, scheduling tools, finance systems, and operational platforms.
  • Coordinate with Information Technology, vendors, developers, and internal system owners to troubleshoot and improve integrations.
  • Assess new applications, connectors, and marketplace tools for compatibility, security, scalability, and business value.
  • Support data migrations, platform expansions, acquisitions, reorganizations, and major process changes.
  • Build and maintain sandbox or test environments when available and appropriate.
  • Develop testing plans and conduct user-acceptance testing before implementing significant system changes.
  • Maintain change-management records and communicate system updates, new features, process changes, and potential user impacts.
  • Create user guides, process documentation, system maps, training materials, release notes, and administrative documentation.
  • Partner with the Sales Trainer and Sales Enablement team to develop and deliver HubSpot training for new and existing users.
  • Provide user support, office hours, troubleshooting, and role-specific guidance.
  • Monitor user adoption and identify behaviors or process gaps affecting CRM effectiveness.
  • Recommend system, process, and training improvements based on usage data and user feedback.
  • Stay current on HubSpot releases, product enhancements, system limitations, security updates, and industry best practices.
  • Evaluate new HubSpot features and make recommendations regarding adoption and implementation.
  • Ensure HubSpot use complies with applicable privacy, healthcare, marketing, data-retention, and company requirements.
  • Partner with Compliance, Legal, Information Security, and Information Technology to appropriately manage sensitive information and system access.
  • Ensure confidential patient, provider, customer, employee, pricing, contract, and company information is appropriately protected.
  • Perform other duties and revenue-operations or sales-enablement projects as assigned.

Required Qualifications:

  • Bachelor's degree in information systems, business, marketing, analytics, operations, or a related field, or equivalent relevant experience.
  • At least three years of hands-on experience administering HubSpot in a business environment.
  • Demonstrated experience configuring HubSpot properties, workflows, pipelines, user permissions, automation, reports, and dashboards.
  • Strong understanding of CRM architecture, data relationships, lifecycle stages, lead management, pipeline management, and sales processes.
  • Experience managing large-scale data imports, exports, cleansing, deduplication, and record updates.
  • Experience troubleshooting CRM configuration, automation, workflow, data, integration, and user-access issues.
  • Strong data-management and data-governance skills.
  • Ability to translate business requirements into practical and scalable technical solutions.
  • Strong analytical, problem-solving, documentation, and process-design skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple projects, requests, priorities, and stakeholders in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to explain technical concepts to nontechnical users and business leaders.
  • Experience creating dashboards, reports, and performance metrics for sales or revenue teams.
  • Experience supporting and training CRM users.
  • Ability to work independently while collaborating across Sales, Marketing, Operations, Analytics, Information Technology, and leadership teams.
  • Ability to pass all required background checks and pre-employment screenings.

Preferred Qualifications:

  • HubSpot Administrator, HubSpot Sales Software, HubSpot Marketing Software, HubSpot Reporting, or related HubSpot certifications.
  • Five or more years of CRM administration or revenue-operations experience.
  • Experience administering multiple HubSpot hubs in an enterprise or rapidly scaling organization.
  • Experience with HubSpot custom objects, calculated properties, datasets, programmable automation, webhooks, or custom integrations.
  • Experience with HubSpot Operations Hub and advanced data automation.
  • Experience with APIs, integration platforms, data warehouses, business-intelligence tools, or middleware applications.
  • Working knowledge of SQL, data modeling, spreadsheet analysis, or business-intelligence reporting.
  • Experience in compounding pharmacy, pharmaceuticals, healthcare, Telehealth, medical services, health technology, or another regulated industry.
  • Knowledge of healthcare privacy, data-security, consent-management, and regulated marketing requirements.
  • Experience supporting sales enablement, revenue operations, partnerships, business development, or customer-success teams.
  • Experience managing CRM governance during rapid growth, organizational restructuring, mergers, or acquisitions.
  • Experience with lead scoring, marketing attribution, territory management, forecasting, and sales-compensation reporting.
