Immediate Opening – HVAC Billing and Dispatch Specialist - Remote ONLY IN Tampa Bay, FL

Stellar Cooling Services is actively hiring a detail-driven remote HVAC Billing and Dispatch Specialist with hands-on Housecall Pro experience and knowledge of call dispatch and county HVAC invoicing procedures. If you thrive in a fast-paced service environment and know how to keep jobs and invoices accurate and organized — we want to hear from you.


Key Responsibilities:

  • Process and finalize invoices in Housecall Pro (required)
  • Verify job details, materials, labor, and pricing for accuracy
  • Manage HVAC calls and dispatch
  • Work with county systems to ensure compliance and proper documentation
  • Reconcile invoices, payments, and job costing
  • Communicate with technicians to resolve discrepancies
  • Handle customer billing questions professionally and efficiently
  • Maintain organized digital records and reports
  • Keep preventive maintenance calls scheduled and updated
  • Attend local meetings quarterly for review of stats IN TAMPA


Required Qualifications:

  • REQUIRED 1+ year Housecall Pro experience.
  • HVAC, plumbing, or home services billing/accounting experience
  • Familiarity with county processes (HVAC preferred)
  • Strong attention to detail and accuracy
  • Experience with invoicing and scheduling using Housecall Pro
  • Proficient with computers, CRM systems, and QuickBooks (preferred)
  • Reliable with work ethic; organized, and deadline-driven
  • Able to work remotely and meet weekly timelines


Preferred (Stand Out Candidates):

  • Several Years of HouseCall Pro Experience
  • Experience working directly with HVAC contractors
  • Knowledge of local or county invoicing processes
  • QuickBooks or similar accounting software experience
  • Ability to multitask in a high-volume service environment

THIS IS A PART TIME POSITION. Monday – Friday | Monday and Tuesday 8:30–3:30; Wednesday–Friday Scheduling Preventative Maintenance; Accounts Receivable Reconciliation; ACH Application and Reconciliation; Other duties as needed.
