HR Administrator

This is a remote position. Our client is looking for an HR Administrator to support their day-to-day human resources operations and help maintain organized, accurate, and efficient employee processes. They operate in the professional security industry and have expanded their capabilities across guard services, consulting, training, and security technology while supporting clients across multiple sectors. This role is ideal for a highly organized professional who enjoys administrative work, communicates effectively, and can manage sensitive employee information with discretion. The HR Administrator will provide support across employee records, onboarding, documentation, scheduling, HR inquiries, and general administrative processes while helping the organization maintain consistent HR practices. Because the organization operates in a fast-moving, people-driven environment, the ideal candidate is proactive, detail-oriented, comfortable managing multiple priorities, and capable of following up independently to ensure tasks are completed accurately and on time.

Responsibilities:

  • Support daily HR administrative activities and maintain organized employee information and documentation.
  • Assist with employee onboarding and offboarding processes, ensuring required documents and administrative steps are completed.
  • Maintain accurate and up-to-date employee records, files, forms, and internal HR databases.
  • Prepare, organize, and process HR-related documents, correspondence, and administrative forms.
  • Assist with tracking employee information, attendance records, time-off requests, and other HR-related data as needed.
  • Coordinate meetings, interviews, onboarding activities, and other HR-related scheduling.
  • Respond to routine employee questions and route more complex HR matters to the appropriate team member.
  • Follow up with employees and managers regarding outstanding documentation, forms, or required information.
  • Assist with recruitment administration, including candidate coordination, interview scheduling, and maintaining applicant information when needed.
  • Support the preparation of internal reports, spreadsheets, and HR trackers.
  • Maintain confidentiality when handling employee records and sensitive company information.
  • Help ensure HR processes and documentation remain consistent and properly organized.
  • Provide general administrative support to HR and management as priorities arise.
  • Communicate professionally with employees, candidates, managers, and other stakeholders.
  • Identify missing information, administrative issues, or pending tasks and proactively follow through to resolution.

Requirements:

  • 1–3 years of experience in Human Resources administration, HR coordination, people operations, office administration, or a similar support role.
  • Previous experience supporting employee documentation, onboarding, records management, or other HR processes.
  • Strong organizational and administrative skills with excellent attention to detail.
  • Ability to manage multiple tasks, deadlines, and follow-ups simultaneously.
  • Strong written and verbal communication skills.
  • Fluent English, with the ability to communicate professionally in a U.S.-based work environment.
  • Proficiency with Microsoft Office or Google Workspace, particularly spreadsheets, documents, email, and calendars.
  • Comfortable learning and working with HR systems, databases, and digital administrative tools.
  • Ability to work independently in a remote environment and maintain consistent communication with the team.
  • Strong discretion and professionalism when handling confidential employee information.
  • Reliable internet connection and an appropriate remote workspace.

Qualifications:

  • Degree or technical education in Human Resources, Business Administration, Psychology, Management, or a related field is preferred.
  • Previous experience working remotely with a U.S.-based company is a plus.
  • Experience with HRIS, ATS, payroll, scheduling, or workforce management platforms is desirable.
  • Experience supporting companies with hourly, field-based, operational, or distributed workforces is highly valued.
  • Familiarity with recruitment coordination and employee lifecycle processes is beneficial.
