Job description

Job Title: Employee Benefits Coordinator Location: Pittsburgh, PA Type: Direct Hire Work Model: Hybrid – onsite and remote (after training)

Overview The Employee Benefits Coordinator is responsible for providing administrative and operational support for the organization's employee benefits programs, including medical, dental, vision, life insurance, disability, 401(k), health savings accounts (HSAs), flexible spending accounts (FSAs), COBRA, and voluntary benefit plans. This role serves as a primary point of contact for employee benefit inquiries, ensuring accurate and timely resolution of issues while supporting compliance, data integrity, vendor coordination, and benefits communication initiatives.

Responsibilities

  • Provide administrative and operational support for the organization’s employee benefits programs, including medical, dental, vision, life insurance, disability, 401(k), HSAs, FSAs, COBRA, and voluntary benefit plans.
  • Serve as a primary point of contact for employee benefit inquiries, ensuring accurate and timely resolution of issues.
  • Coordinate employee benefit enrollments, status changes, qualifying life events, and terminations.
  • Process benefit transactions for new hires, transfers, leaves of absence, and separations.
  • Support annual open enrollment activities and audits.
  • Maintain accurate employee benefit records within HRIS and benefit systems.
  • Investigate and resolve day-to-day benefits issues.
  • Partner with carriers, brokers, and vendors to ensure accurate benefit administration.
  • Monitor and validate eligibility files and census data.
  • Initiate and track life insurance, disability, and other benefit-related claims.
  • Prepare and process funding files for 401(k), HSA, and FSA plans.
  • Coordinate with payroll and plan administrators to ensure accurate contributions.
  • Coordinate COBRA administration and reporting.
  • Respond to National Medical Support Notices and government reporting requirements.
  • Support ACA, COBRA, HIPAA, and ERISA compliance activities.
  • Assist with monthly benefits billing reconciliation.
  • Review benefit deductions and resolve discrepancies.
  • Prepare enrollment materials and employee communications.
  • Coordinate employee benefit education and wellness initiatives.
  • Generate employee correspondence and benefit-related documentation as required.
  • Assist other Human Resources team members with projects and initiatives.
  • Support audits, reporting, and records maintenance.
  • Perform other duties as assigned.

Requirements

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and experience will be considered.
  • Knowledge of federal, state, and local benefits regulations and reporting requirements, including COBRA, FMLA, HIPAA, and other applicable laws.
  • Strong problem-solving skills with the ability to identify, research, and resolve issues in a timely manner.
  • Demonstrated commitment to customer service, professionalism, and maintaining confidentiality of sensitive information.
  • Excellent verbal and written communication skills with strong attention to detail and data accuracy.
  • Ability to effectively prioritize multiple tasks and manage competing deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, and advanced Excel functions.
  • Experience with HRIS, benefits administration, and health and welfare systems; ADP Enterprise experience preferred.
  • Strong analytical, organizational, and administrative skills.
