The People & Culture Administrative Coordinator provides administrative and operational support to the People & Culture department by coordinating employee lifecycle processes, maintaining employee records, processing employment-related transactions, supporting HR systems administration, preparing documentation, and assisting with departmental communications and reporting.
This role serves as a key administrative resource for People & Culture initiatives and programs, helping to ensure accuracy, organization, compliance, and exceptional internal service. The People & Culture Administrative Coordinator is responsible for maintaining confidential employee information, monitoring workflows, coordinating documentation, and supporting the efficient execution of People & Culture processes throughout the organization.
The ideal candidate is highly organized, detail-oriented, service-focused, and capable of managing multiple priorities while maintaining accuracy and professionalism.
Essential Functions
Employee Records & Administration
  • Maintain employee personnel files and electronic employee records.
  • Process employee data changes including transfers, promotions, compensation changes, manager changes, leaves of absence, and separations.
  • Prepare and distribute employment-related documents, forms, letters, and correspondence.
  • Track receipt and completion of required employee documentation.
  • Ensure employee records are maintained in accordance with record retention requirements and department standards.
  • Maintain strict confidentiality of employee information.

Onboarding & Offboarding Coordination
  • Enter and maintain employee information within the Human Resources Information System (HRIS).
  • Audit employee records for accuracy and completeness.
  • Assist employees with basic system navigation and self-service functionality.
  • Support testing, validation, and implementation of system updates as assigned.
  • Generate standard reports and assist with data collection requests.

Documentation & Reporting
  • Support document collection for audits, reporting requirements, and internal reviews.
  • Process employment verification requests and maintain tracking records.
  • Update forms, templates, and employee resources as directed.
  • Ensure timely filing and retention of People & Culture documentation.
  • Maintain departmental trackers, spreadsheets, and workflow management tools.
  • Compile routine reports and administrative metrics.
  • Monitor deadlines, follow-ups, and department action items.
  • Assist with document management and process documentation.
  • Support special projects and departmental initiatives as assigned.
Departmental Support
  • Respond to routine employee inquiries and direct complex matters to the appropriate People & Culture team or Leadership Team member.
  • Schedule meetings, coordinate communications, and assist with department logistics.
  • Support preparation of presentations, training materials, and employee communications.
  • Assist with maintaining intranet, SharePoint, and employee resource content.
  • Provide general administrative support to the People & Culture department.

Job Requirements and Qualifications
  • Associate degree in Business Administration, Human Resources, or a related field preferred.
  • Two (2) or more years of administrative, coordinator, customer service, or Human Resources support experience preferred.
  • Experience working with HRIS, payroll, or business systems (Dayforce experience is preferred).
  • Experience managing confidential information required.
  • Strong organization and time management skills.
  • Exceptional attention to detail and accuracy.
  • Ability to manage confidential information professionally and discreetly.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, Outlook, Excel, Word, Teams, and SharePoint.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong customer service and follow-through skills.
  • Ability to learn new systems and processes quickly

$24.00 - $27.00 per hour depending on experience.
