Payroll Analyst
The Payroll Analyst is responsible for the accurate and timely processing of payroll for a large, multi-state workforce within a fast-paced contract security environment. This position ensures employees are paid accurately and on time while maintaining compliance with wage and hour laws, company policies, and applicable regulations.
The Payroll Analyst serves as a key partner to Human Resources, Operations, and Finance by auditing payroll data, resolving payroll discrepancies, maintaining employee payroll records within our systems, preparing payroll reports, and identifying opportunities to improve payroll processes.
Key Responsibilities:
- Process weekly payroll accurately and on schedule using WinTeam.
- Review, audit, and reconcile payroll data to ensure the accuracy of employee hours, overtime, bonuses, commissions, retroactive pay, paid time off, and other earnings.
- Review/validate WinTeam Timekeeping data to ensure accurate payroll processing.
- Investigate and resolve payroll discrepancies, timekeeping issues, tax concerns, garnishments, and employee payroll inquiries in a timely manner.
- Maintain accurate employee payroll records within WinTeam, including pay rates, earnings, deductions, tax elections, direct deposit information, benefit deductions, labor allocations, and organizational assignments.
- Process payroll-related personnel actions including new hires, transfers, promotions, pay rate changes, leaves of absence, and terminations.
- Validate labor allocations, job costing, and cost center assignments to ensure payroll aligns with client contracts and operational requirements.
- Ensure compliance with federal, state, and local payroll tax regulations, wage and hour laws, and company policies.
- Process wage garnishments, child support orders, tax levies, and other involuntary deductions.
- Prepare payroll reconciliations and assist with month-end and year-end payroll reporting.
- Coordinate year-end payroll activities, including W2 processing and required payroll tax reporting.
- Assist with payroll tax filings and ensure government reporting deadlines are met.
- Support internal audits by providing payroll records and reports.
- Generate payroll, labor, and exception reports from WinTeam to support HR, Finance, Operations, and executive leadership.
- Collaborate with HR/Operations to ensure employee records, pay changes, and timekeeping information are accurate and up to date.
- Identify payroll process improvements that enhance efficiency, accuracy, compliance, and internal controls.
- Maintain confidentiality of payroll and employee information by adhering to legal, ethical, and company privacy standards.
- Perform other duties as assigned.
Qualifications:
- Minimum of 3-5 years of payroll administration experience in a fast-paced, high-volume environment.
- Experience processing payroll for a multi-state workforce.
- Experience supporting large employee populations.
- Experience in the contract security, staffing, or similar service industry preferred.
- Experience processing complex payrolls involving overtime, holiday pay, etc. preferred.
Required Knowledge, Skills & Abilities:
- WinTeam payroll and Timekeeping experience required.
- Strong understanding of payroll processing, payroll reconciliations, and payroll accounting principles.
- Thorough knowledge of federal, state, and local payroll tax regulations.
- Strong understanding of the Fair Labor Standards Act and wage and hour compliance.
- Experience processing garnishments, tax levies, child support orders, and other payroll deductions.
- Proficiency with Microsoft Office, including Excel, and Outlook. Advanced Excel skills preferred.
- Excellent analytical and organizational skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and consistently meet payroll processing deadlines.
- Demonstrated ability to exercise sound judgment and resolve complex payroll issues.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Ability to maintain strict confidentiality of sensitive employee and payroll information.
