Job description

Executive Assistant to the CEO
Charleston, SC 29403 (Onsite/ Hybrid)
  • Salary: $80-90K/yr

We are seeking a highly organized, proactive, and trusted Executive Assistant to support
the CEO and key functional leaders. This role serves as a strategic administrative partner,
ensuring executive priorities are organized, communicated, and executed effectively.
The ideal candidate is equal parts Executive Assistant, project coordinator, and office operations leader. They thrive in fast-paced environments, anticipate needs, solve problems independently, and exercise exceptional judgment when handling sensitive matters.
KEY DUTIES AND RESPONSIBILITIES
Executive Support
  • Manage and prioritize the CEO's calendar, commitments, and competing priorities
  • Coordinate personal and business travel, including itineraries, logistics, and real-time adjustments
  • Manage executive communications, including inbox monitoring, prioritization, and response coordination
  • Ensure executives are prepared for meetings, calls, and key engagements
  • Track action items, decisions, and deliverables to ensure accountability and follow through
  • Anticipate needs, resolve scheduling conflicts, and coordinate follow-up activities
  • Prepare agendas, presentations, reports, briefing materials, and executive correspondence
  • Coordinate meeting logistics, attendee communications, and special events
  • Support expense reporting and travel administration
  • Provide administrative and occasional personal assistant support to the VP of Operations, as needed
  • Support special projects and cross-functional initiatives
  • Handle confidential business and personal matters with discretion and professionalism
Office Operations & Administrative Support
  • Coordinate headquarters office operations and maintain a professional, business-ready environment
  • Receive, process, and securely distribute mail, packages, and sensitive documents
  • Manage office, SWAG, and onboarding inventory, including ordering, storage, and distribution
  • Assemble onboarding kits and employee recognition items
  • Support employee engagement activities, company events, and administrative initiatives
  • Safeguard confidential information and company assets

QUALIFICATIONS:
  • At least 6-10 years of experience supporting senior executives in an Executive Assistant or comparable role
  • Experience managing executive calendars, travel, and confidential communications
  • Proficiency with Microsoft Office, Outlook, Teams, and related business applications
  • Certified South Carolina Notary Public, or ability to obtain within six months of hire
  • Demonstrated success coordinating multiple priorities in a fast-paced environment

EDUCATION REQUIREMENTS:

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS:
Work Location & Transportation Requirements
  • Primary report to headquarters, hybrid remote work is available, as agreed upon with the hiring manager
  • Must reside within the Charleston Metropolitan Area
  • Valid driver's license and reliable personal transportation required
  • Availability during normal business hours and responsive to occasional time-sensitive executive support needs
  • Availability to complete occasional errands, deliveries, meeting support, and administrative tasks requiring an in-person presence
