Job Title: Human Resources Events Associate
Department: Human Resources
Reports To: HR & Operations Manager

Location: Remote (Florida Applicants Only)

Note: The proposed schedule is flexible and may be adjusted based on the employee's academic schedule, event schedules, availability, and business needs. We strive to accommodate students whenever possible while ensuring adequate training, collaboration, and support.

Position Summary

We are seeking a highly organized and proactive HR Events Associate to support the human resources and operational functions of Pro-Play Games Event Management. This role serves as a key partner to the HR & Operations Manager in coordinating event staffing, contractor onboarding, payroll support, travel logistics, and administrative processes that help ensure successful event execution.

The HR Events Associate will play a vital role in supporting hundreds of event staff members across conventions, tournaments, and large-scale gaming events throughout the year. This position combines HR administration, event operations, workforce coordination, and project management in a fast-paced environment. The ideal candidate thrives in a structured environment, enjoys coordinating moving pieces, communicates effectively with large groups, and is comfortable balancing people-focused responsibilities with administrative and operational tasks.

Due to operational needs and occasional in-person support requirements, only candidates residing in Florida will be considered for this position.

Key Responsibilities

Contractor Onboarding & Offboarding

  • Coordinate contractor onboarding documentation and system setup.
  • Ensure required agreements, tax forms, and event documentation are completed prior to assignments.
  • Maintain onboarding records and assist with contractor offboarding procedures when necessary.

Payroll & Administrative Support

  • Assist with payroll preparation and timekeeping verification for event staff and contractors.
  • Support payroll audits and help resolve missing hours, payment discrepancies, and contractor inquiries.
  • Maintain accurate workforce data and assist with reporting needs.

HR Operations Support

  • Maintain confidential employee and contractor records.
  • Assist with policy acknowledgments, compliance tracking, and training documentation.
  • Support internal communications related to event staffing and workforce processes.

Process Improvement & Documentation

  • Create and maintain SOPs, process guides, checklists, and workflow documentation.
  • Assist with process improvement initiatives that support scalability and operational efficiency.
  • Help develop resources that improve the event staff experience from onboarding through payroll.

Qualifications

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Comfortable working independently in a remote environment.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience with spreadsheets, project management tools, or workforce management systems preferred.
  • Ability to create and maintain clear documentation, process guides, and training materials.

This is a part-time role with shifts scheduled Monday through Friday within our operating window of 10:00 AM to 6:00 PM. Schedules are set in advance based on your availability and the needs of the team.
