WHAT YOU WILL DO
Purpose of this Role: The Legal Assistant provides administrative and operational support to the Office of General Counsel (OGC), helping ensure the efficient coordination of legal, compliance, governance, contracting, and departmental activities. This role assists with business licensing, corporate records management, contract administration, client due diligence requests, legal operations systems, reporting, and litigation support functions. The position requires strong organizational skills, attention to detail, sound judgment, discretion, and the ability to effectively manage multiple priorities in a fast-paced environment.
Value to the Team: The Legal Assistant provides essential administrative, operational, and legal support that allows the Office of General Counsel to operate efficiently and effectively. Through strong organization, attention to detail, and coordination of key legal and compliance activities, this role helps ensure that departmental priorities are executed accurately and on schedule.
Impact on the Organization: This position supports the Firm's ability to effectively manage legal risk, maintain compliance obligations, support client requirements, and sustain efficient business operations. By helping coordinate legal, governance, contracting, and compliance activities, the Legal Assistant contributes to the overall effectiveness and success of the Office of General Counsel and the Firm.
Job Functions/Duties:
Litigation and Legal Support
  • Assist attorneys with litigation, claims, inquiries, and other legal matters.
  • Coordinate matter intake, document management, legal holds, discovery support, and related tracking activities.
  • Maintain legal calendars, deadlines, filings, correspondence, and matter records.
  • Organize and maintain legal files and supporting documentation.

Corporate Governance and Compliance Support
  • Assist with maintenance of corporate records, entity documentation, and governance materials.
  • Coordinate business license renewals, annual filings, registrations, and related compliance activities across multiple jurisdictions.
  • Maintain centralized compliance tracking and filing calendars.
  • Contract Administration
  • Assist with contract review, routing, tracking, execution, renewals, and document retention under attorney direction.
  • Maintain contract records and supporting documentation within designated systems.
  • Track key contract dates, obligations, and renewal requirements.

Client Questionnaires and Due Diligence
  • Coordinate responses to client questionnaires, audits, RFPs, and due diligence requests.
  • Gather information from internal stakeholders and maintain approved response materials and supporting documentation.

Legal Operations and Systems Administration
  • Support administration of legal department systems, including contract lifecycle management (CLM) and enterprise risk management (ERM) platforms.
  • Maintain data accuracy, workflow integrity, and document consistency within department systems.
  • Assist with reporting, dashboard preparation, and data collection.
  • Reporting and Administrative Support
  • Prepare reports, presentations, briefing materials, templates, and departmental correspondence.
  • Track departmental metrics and support reporting initiatives for leadership.
  • Maintain organized departmental records and documentation.

Process Improvement
  • Identify opportunities to improve efficiency, consistency, and organization within OGC processes and workflows.
  • Assist with the development and maintenance of procedures, templates, and resource materials.

General
  • Perform additional duties as assigned.
  • Complete all required Firm training and development activities.

Training and Experience:
Required
  • Associate's degree, Bachelor's degree, paralegal certificate, or equivalent combination of education and relevant experience.
  • Five (5) or more years of experience in a legal assistant, legal administrative support, legal operations support, or similar role.
  • Experience supporting legal, compliance, contracting, governance, or other professional services functions.
  • Strong experience managing documents, deadlines, records, and communications involving multiple stakeholders.
  • Proficiency with Microsoft Office 365 applications, including Word, Excel, Outlook, Teams, and SharePoint.

Preferred
  • Experience within a law firm, in-house legal department, or regulated professional services environment.
  • Experience with business licensing, corporate filings, entity management, or compliance tracking.
  • Experience supporting litigation, claims management, contract administration, audits, due diligence requests, or client questionnaires.
  • Experience with contract lifecycle management (CLM), enterprise risk management (ERM), legal matter management, or similar workflow platforms.
  • Advanced reporting, data management, or Excel skills.
