Office Manager & Billing Specialist – QuickBooks Experience Required

About the Role

This is a dual-role position combining office management and billing/accounting responsibilities. You’ll play a critical role in keeping daily operations running smoothly while ensuring financial accuracy and accountability across the business.

Key Responsibilities

Office Operations

  • Greet and assist visitors in a professional manner
  • Answer and route incoming calls efficiently
  • Manage documents (copying, scanning, emailing)
  • Maintain organized filing systems and database records
  • Perform accurate data entry and document retrieval
  • Uphold company policies and professional standards

Billing & Accounting

  • Process daily invoicing using QuickBooks in accordance with contract terms
  • Identify billable events and ensure accurate charge application
  • Conduct daily revenue assurance audits
  • Apply payments, resolve discrepancies, and reconcile accounts
  • Monitor accounts receivable and actively manage collections
  • Prepare and submit invoice packets with required documentation
  • Support internal and external audits
  • Maintain and update billing records and account data
  • Communicate with customers and internal teams to ensure account accuracy
  • Generate financial reports and identify trends for revenue growth and cost savings

Qualifications

  • 2+ years of billing, accounting, or related experience
  • Degree in accounting or similar field (preferred) or equivalent experience
  • Proficiency in QuickBooks and Microsoft Office
  • Strong understanding of accounting principles
  • Excellent analytical, organizational, and problem-solving skills
  • Strong written and verbal communication skills
  • Ability to multitask, prioritize, and follow through independently
