Job description

About Applied Intuition

Applied Intuition, Inc. is powering the future of physical AI. Founded in 2017 and now valued at $15 billion, the Silicon Valley company is creating the digital infrastructure needed to bring intelligence to every moving machine on the planet. Applied Intuition services the automotive, defense, trucking, construction, mining and agriculture industries in three core areas: tools and infrastructure, operating systems, and autonomy. Eighteen of the top 20 global automakers, as well as the United States military and its allies, trust the company’s solutions to deliver physical intelligence. Applied Intuition is headquartered in Sunnyvale, California, with offices in Washington, D.C.; San Diego; Ft. Walton Beach, Florida; Ann Arbor, Michigan; London; Stuttgart; Munich; Stockholm; Bangalore; Seoul; and Tokyo. Learn more at applied.co.

We are an in-office company, and our expectation is that employees primarily work from their Applied Intuition office 5 days a week. However, we also recognize the importance of flexibility and trust our employees to manage their schedules responsibly. This may include occasional remote work, starting the day with morning meetings from home before heading to the office, or leaving earlier when needed to accommodate family commitments.

About the Role:

Applied Intuition is looking for a Recruiting Operations Manager to lead the coordination, systems, and process infrastructure behind our recruiting function. This is a hands‑on role: you will manage a team of recruiting coordinators, own the day‑to‑day health of our recruiting systems, and build the operational strategy that lets recruiting scale cleanly as the business grows.

You will work cross‑functionally with Recruiting Teams and People Operations to make sure the strategy and processes you build benefit every team across the greater People organization, not just recruiting. You are as comfortable defining an operational strategy as you are getting into the weeds of an ATS workflow or a background check exception, and you build things in a way that will hold up as we grow — including the documentation and data hygiene a publicly traded company needs.

At Applied Intuition, you will:
  • Own the strategy around the day‑to‑day operation of our recruiting systems, including the ATS (Ashby) and scheduling/coordination tooling (ModernLoop)
  • Manage the recruiting coordination team's performance; scheduling, candidate communications, interview logistics — ensuring a consistent, high‑quality candidate and interviewer experience
  • Build operational strategies for recruiting that hold up in a fast‑paced, scaling organization, then translate strategy into documented, repeatable processes.
  • Own data hygiene across recruiting systems — clean requisition data, accurate candidate and pipeline records, and consistent reporting inputs the broader People team can rely on
  • Build and document processes with an eye toward future SOX compliance, applying the rigor and auditability expected of a publicly traded company even before it’s required
  • Work as a close partner to People Operations on shared responsibilities, including offer letter management and background checks, ensuring clean handoffs and no dropped details between teams
  • Lead, manage, and develop a team of recruiting coordinators, recruiting operations specialists, and recruiting systems members to the standard for operational excellence and consistency across the function
What We’re Looking For:
  • Bachelors Degree and 5+ years of experience in recruiting operations, with hands‑on experience in recruiting coordination and recruiting systems.
  • 3+ years of people management experience
  • Direct experience operating in fast‑paced, scaling organizations, building operational strategies that hold up as headcount and hiring volume grow
  • Proven experience building and documenting processes that are repeatable and support data hygiene across recruiting systems
  • Recruiting programs experience
  • Experience working closely with People Operations as a shared partner on offer letter management and background checks
Nice to Have:
  • Experience with Ashby and ModernLoop specifically
  • Working experience and proficiency with Ashby, Workday, and Google Workspace.
  • Experience in publicly traded companies, particularly building or supporting processes with future SOX compliance considerations in mind

Don’t meet every single requirement? If you’re excited about this role but your past experience doesn’t align perfectly with every qualification in the job description, we encourage you to apply anyway. You may be just the right candidate for this or other roles.
