Position Summary

The Recreation Facilities Assistant serves as a key operational leader within Brodie Recreation Center, supporting daily facility operations, aiding and supporting student staff, and ensuring a safe, clean, and welcoming environment. This role combines frontline leadership support, administrative coordination, and staff development. Reports to: Assistant Director of Recreation Facilities

Preferred Qualifications

Minimum of two years of relevant experience (recreation, facilities, or service environment preferred).

Strong communication, leadership, and customer service skills

Ability to manage multiple priorities in a fast-paced environment

Maintains a flexible schedule with availability across mornings, afternoons, evenings, and weekends, including holidays, academic break periods, and inclement weather days when the university remains operational.

Core Responsibilities

Leadership & Staff Management

Assist, guide, mentor, and support student and part-time facilities staff

Assist with interviewing, hiring, onboarding, and training of new staff

Support staff scheduling, utilizing scheduling software, to ensure appropriate facility coverage

Provide feedback, accountability, and performance support for part-time staff

Operations & Facility Oversight

Assist in the oversight of daily facility operations

Ensure cleanliness, safety, and functionality of all spaces through collaboration with Housekeeping and Facility Management Department

Maintain inventory and coordinate repairs for cardio, strength and check out front desk equipment

Oversee operational documents, forms, and tracking systems (e.g., staff cleaning logs and facility cleaning forms) and develop and implement cleaning assignments and procedures for facility spaces, including cardio and strength equipment, using tools such as Google Forms, Microsoft Lists, and Canvas.

Programs & Events

Support execution of special events and facility reservations

Coordinate setup and breakdown for programs and events

Risk Management & Safety

Respond to facility emergencies and implement Emergency Action Plans

Serve on the severe weather response team

Enforce all safety protocols and facility policies

Department Engagement

Model and promote Duke Rec & PE department mission, vision, and values

Attend staff meetings, training, and professional development as requested

Support Duke Rec & PE departmental initiatives and team collaboration

Expectations

Demonstrate professionalism, leadership, and accountability

Maintain a safe, clean, and inclusive environment

Complete all assigned duties and shifts reliably

Maintain CPR/AED/First Aid certification

Submit timecards accurately and on time

Schedule & Compensation

Must be able to work 29.9 hours per week

Flexible availability required, including early mornings, evenings, and weekends

Facility hours: Brodie operates 7:00 AM - 11:00 PM (Monday-Friday) and 9:00 AM - 10:00 PM (Saturday-Sunday) during the fall and spring academic semesters, with reduced hours during academic breaks

Pay: $20.00 per hour

This position is responsible for maintaining a strong understanding of all frontline roles-including Guest Services and Facility Monitor-and stepping in as needed to ensure seamless coverage, consistent policy enforcement, and high-quality member experiences. This role supports staff, reinforces operational standards, and helps maintain a safe, clean, and welcoming environment across all spaces.

Operations & Coverage

Provide coverage across frontline roles during call-outs, breaks, and peak times

Support daily operations and ensure consistent policy enforcement

Facility Oversight

Conduct walkthroughs to maintain cleanliness, safety, and functionality

Monitor equipment and facility conditions; report and escalate issues as needed

Customer Service

Deliver excellent customer service and assist members with questions, equipment use, and concerns

Staff Support 

Support and guide student staff; assist with break coverage and peak-time operations

Communicate facility needs, incidents, and concerns with supervisors

Administrative Support Utilize systems (Fusion, MyRec) and assist with reports, logs, and lost & found tracking
