Job description

POSITION OVERVIEW:
The Employee Services Specialist supports day-to-day Employee Services operations across the employee lifecycle, including onboarding, employee records management, data management, benefits administration support, compliance, offboarding, and systems. This role serves as a primary point of contact for employee inquiries, provides guidance on organizational policies and procedures, and supports Employee Services processes and compliance activities.

Classification: Exempt
Salary: $50-$55k
Hours: M-F 8:30 a.m. - 5 p.m.
Location: New Lenox, IL
ESSENTIAL FUNCTIONS:
  • Process and monitor pre-employment background checks to ensure completion and compliance, coordinate onboarding activities for new hires, and facilitate new employee orientation sessions.
  • Maintain background check portals, including adding new hires and removing terminated employees.
  • Monitor DOT physical portals for completed results and upload required documentation into Laserfiche.
  • Coordinate Hepatitis B vaccine requests and required follow-up documentation for employees as applicable.
  • Process employee status changes, including rate changes, transfers, terminations, and other personnel transactions, ensuring accuracy and completeness of all records
  • Prepare and process employment verification letters and other employee-related correspondence, including assistance with student loan forgiveness documentation.
  • Assist employees with benefits enrollment and benefits-related inquiries, including supporting open enrollment administration and employee communications.
  • Assist with unemployment claims administration, including gathering documentation, preparing responses, and coordinating organizational participation in unemployment hearings.
  • Support compliance activities, including personnel record audits, background screening requirements, regulatory reporting, license and certification tracking, and other employment related compliance functions.
  • Assist with data collection for surveys as needed.
  • Maintain personnel files and documentation in accordance with company policy and legal requirements.
  • Assist with coordinating employee events and other recognition activities as assigned.
  • Support Employee Services projects and process improvement initiatives.
  • Participate in meetings, Pre-Service training sessions, and company events as required.
  • Perform additional duties as assigned by the Associate Director and/or Director of Employee Services.

QUALIFICATIONS:
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 3 years of human resources or administrative experience preferred.
  • Experience with onboarding, HR compliance, benefits administration, and employee records management preferred.
  • Experience using HRIS systems, benefits platforms, and Microsoft Office applications.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal, customer service, and communication skills.
  • Ability to manage multiple priorities and maintain confidentiality.
