Job description

Faith Comes By Hearing exists to bring God's Word to every person in their heart language. As an Operations Systems Specialist, you will play a vital role in supporting the Language Recording Department by developing, maintaining, and improving the operational systems, workflows, documentation, and administrative processes that help make global recording projects possible.

The Operations Systems Specialist owns the financial, administrative, and systems operations of the Language Recording Department - a global ministry operation spanning multiple regions and recording teams. Core functions include payables, wire confirmations, budget tracking, MOU/ICA compliance, and project board management. The role also serves as the departmental systems resource for Language Recording Coordinators worldwide and will serve as the primary LRD representative in the ministry's AI enterprise system integration.

Responsibilities include:

PRIMARY RESPONSIBILITIES

  1. Support Language Recording Department operational systems and workflows by ensuring departmental procedures, protocols, documentation, and tracking systems are maintained accurately and consistently according to organizational and departmental standards. This includes maintaining operational records, workflow tracking tools, project management platforms, reporting systems, and future enterprise operational systems.
  2. Coordinate and support departmental financial and administrative processes, including budget tracking, payables preparation, reconciliation support, operational reporting, and communication with Accounting and other internal departments as needed. Assist in identifying and resolving discrepancies and administrative issues that impact departmental operations.
  3. Maintain and support departmental operational platforms and workflow tools, including Monday.com boards, tracking systems, databases, shared resources, and future enterprise applications. Assist with implementation, testing, refinement, adoption, and ongoing stewardship of departmental systems and processes.
  4. Serve as a trusted operational resource for Language Recording Coordinators and departmental staff by providing responsive support, practical guidance, and assistance with administrative workflows, documentation, forms, tracking systems, onboarding, and established departmental procedures. Help staff successfully navigate departmental systems while promoting consistency and operational excellence.
  5. Develop, maintain, and organize departmental documentation, including process guides, checklists, workflow maps, reference materials, operational procedures, and continuity resources. Support departmental efforts to reduce dependency on undocumented knowledge and strengthen operational visibility.
  6. Maintain recording data tracking and operational information systems; support the integrity, accessibility, and effective use of departmental operational data needed for planning, decision-making, reporting, and organizational awareness.
  7. Contribute toward the establishment, maintenance, and continuous improvement of departmental operational standards, procedures, workflows, and best practices. Identify opportunities for greater efficiency, consistency, automation, system integration, and operational effectiveness.
  8. Maintain consistent and productive communication with LRD staff, recording teams, Global Partnerships staff, Accounting, Application Support, and other internal departments as needed to facilitate operational coordination and information sharing.

ADDITIONAL RESPONSIBILITIES

  1. Develop, coordinate, and provide training related to departmental operational systems, administrative procedures, workflow tools, reporting processes, and documentation standards as needed.
  2. Assist with hospitality and logistical arrangements for departmental guests, meetings, events, and special projects as needed.
  3. Perform other duties as assigned in support of departmental operations, continuity, and organizational effectiveness.
