About the Position
Rebecca Kay Sapp Law Firm is looking for an experienced, professional, and dependable Bilingual Receptionist to join our team at our Lilburn office.
Our Receptionist is one of the first people our clients interact with, so we are looking for someone who understands the importance of providing an excellent first impression. The right candidate will be friendly and compassionate while also being organized, efficient, confident on the phone, and comfortable working in a busy professional office.
At least one year of previous receptionist, front desk, or administrative experience is strongly preferred. Previous experience in a law firm, medical office, or other professional office environment is a plus.
This is a great position for someone who enjoys helping people, likes staying busy, and takes pride in keeping an office organized and running smoothly.
Responsibilities
As a Receptionist, your responsibilities will include:

  • Answering incoming calls promptly, professionally, and with a friendly attitude
  • Determining the purpose of calls and directing callers to the appropriate person or department
  • Taking accurate and detailed messages
  • Greeting clients, visitors, vendors, and other guests
  • Maintaining a professional, clean, and welcoming reception area
  • Assisting clients with document drop-offs, paperwork, and other basic needs
  • Receiving, sorting, and distributing incoming mail, packages, and deliveries
  • Preparing and processing outgoing mail and shipments
  • Preparing, assembling, and mailing legal demand packages
  • Scanning, uploading, organizing, and distributing documents
  • Assisting with scheduling appointments, consultations, and meetings
  • Preparing conference rooms for meetings and client appointments
  • Maintaining office supplies and notifying management when items need to be reordered
  • Providing backup coverage for other receptionists and legal assistants when they are out of the office
  • Assisting attorneys, legal assistants, case managers, and management with administrative tasks and special projects
  • Assisting with office events, employee celebrations, and firm gatherings
  • Setting up and breaking down birthday celebrations, work anniversaries, holiday parties, catered lunches, trainings, and other group events
  • Assisting with catering deliveries, food setup, and cleanup
  • Helping maintain clean and organized common areas throughout the office
  • Assisting with marketing or community events when needed
  • Performing other administrative and office-support duties as assigned

  • 1+ year of receptionist, front desk, or administrative experience
  • Previous law firm experience
  • Previous experience in a medical or other professional office environment
  • Experience handling a multi-line or high-volume phone system
  • Experience handling confidential or sensitive information
  • Bilingual in English and Spanish is required
