Receptionist

This position is required to perform all duties of Receptionist. This position will be responsible for ensuring premier customer service for both in-person and over the phone patients, visitors, and vendors. Receptionists are the liaison between the public, medical staff, and business office staff.

Duties and Responsibilities

  • Welcomes and greets all patients and visitors in a warm and welcoming manner.
  • Answers phone calls while maintaining a polite, professional, phone manner using proper phone etiquette.
  • Screen phone calls, submitting a patient case or forwarding urgent calls as needed.
  • Maintain paper and electronic Protected Health Information (PHI) in compliance with HIPAA regulations.
  • Registers new patients, updates existing patient demographics, and obtains updated identification and insurance information.
  • Collect patient payments, copays, and balances, recording payment according to Clinic policy and provide the patient with receipt.
  • Maintains Physician appointment schedules in accordance with Clinic scheduling policies.
  • Review future scheduled appointments for insurance eligibility flags, follow up with patients/insurance companies if necessary.
  • Confirm and/or reschedule appointments as necessary.
  • Facilitate patient flow by notifying the medical staff of patient arrival, informing patients of potential delays, and communicating with patients and staff in a professional manner.
  • Follow-up on reception buckets between patients.
  • Escort patients to the Radiology department when requested.
  • Performs other clerical duties such as data entry, faxing, filing, photocopying, and transcription.
  • Must be available to work evening and weekend hours.
  • Maintain work area and lobby in a clean, sanitized, and organized manner.
  • Follows all Infection Prevention policies and procedures.
  • Attends annual required company programs and trainings.
  • Attends all regular required department and company meetings.
  • Maintains strictest confidentiality.
  • Performs all other tasks and projects assigned.

Typical Physical Demands

Major activities of this job include sitting for long periods of time, moving from place to place, and light physical effort performed on a level surface. Use of a computer, telephone, writing, and organizational skills. Manual dexterity for use of computer keyboard and calculator, mobility and good vision (includes near acuity and depth perception). May be required to lift and carry items weighing up to 10 lbs., occasionally lift or move up to 100 lbs. with assistance. Requires ability to communicate effectively and have hearing within a normal range. Typical Working Conditions

Must possess the physical and mental abilities to perform the tasks normally associated with a Receptionist. The work environment is indoors in an office / medical clinic setting. Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations, moving equipment, and other conditions common to a medical clinic environment. Requires working under stress in emergency situations, meeting deadlines, frequent interruptions, and occasionally may involve irregular working hours.
