Job description

Provide operational and administrative support across reception, mail processing, collateral management, and notary services. This role requires strong attention to detail, documentation discipline, customer service skills, and the ability to manage time-sensitive work while maintaining compliance with company standards.

Reports To: Operations Lead/Supervisor

Key Responsibilities

  • Serve as the first point of contact for visitors, clients, and vendors.
  • Receive, process, track, and distribute mail, packages, and collateral documents.
  • Maintain accurate records, documentation, and chain-of-custody controls.
  • Support notary services, including Remote Online Notarization (RON), in accordance with applicable regulations and company procedures.
  • Follow established procedures, workflows, and security requirements.
  • Identify and escalate exceptions, discrepancies, or compliance concerns.
  • Maintain timely completion of assigned work and support continuous process improvement efforts.

Qualifications

Required

  • High attention to detail and strong organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to learn operational systems and processes quickly.

Preferred

  • Active Notary Commission, or ability to obtain a Notary Commission within 14 days of hire.
  • Experience with Remote Online Notarization (RON).
  • Experience in mortgage servicing, legal operations, or other regulated environments.
  • Experience in reception, mail operations, records management, or document processing.

Experience: 1–3+ years of related operational, administrative, or processing experience preferred.
