Job description

The Position The City of Lake Oswego is seeking a dynamic and skilled administrative support professional to provide reception and administrative support for the main reception desk at City Hall in the afternoons five days per week. This is a unique and exciting "job-share" opportunity to provide outstanding customer service at our front desk operations. This part-time position averages approximately 23 hours per week and covers the afternoon shift from 12:30 to 5:00 p.m., Monday through Friday

This position requires the employee to work in the office; there is no remote work option. The position is represented by the Lake Oswego Municipal Employees Association (LOMEA)/ American Federation of State, County and Municipal Employees (AFSCME). Key Responsibilities The Ideal Candidate will: Receive visitors and answer telephone calls on a multi-line phone system, respond to general inquiries, and direct callers and visitors to appropriate staff.

Perform data entry assignments; proofread, research, scan, gather, and compile information and figures for a variety of reports. Receive packages and route mail as appropriate. Receive and review permit applications for basic completeness.

Compile documents for bulk mailings and distribution of notices and correspondence. Assist in maintaining various databases. Maintain reference documents for the front desk.

Assist in updating City's online calendar with meetings and events. Maintain basic office equipment by communicating with IT. Effectively communicate with Facilities when issues arise in building.

Utilize city website and other search engines to locate information for callers/visitors. Assist with cashiering duties, including accepting and processing payments through Accela, reconciling cash, and issuing receipts. Perform basic administrative and reception desk duties and other tasks of a similar nature or level.

Education and Experience Requirements Successful candidates will be quick learners who enjoy assisting visitors, bring positive energy to the office environment, can prioritize and switch efficiently between tasks, and come from a positive customer service-oriented background. Preferred candidates will have at least two years of related experience or any equivalent combination of education and experience to successfully perform the duties of the position. Priority consideration will be given to candidates with an associate's degree or higher.

The person selected must have excellent communication skills and the ability to engage with the public and City employees in a clear, tactful and courteous manner. The candidate must be proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat; be detail-oriented; have the ability to use general office equipment; and accurately type and proofread documents in a timely manner. This position is subject to mandatory participation in electronic funds transfer (EFT) for payment of net wages (i.e., Direct Deposit or PayCard)
