We are looking for an experienced Office Services Manager to lead day-to-day workplace operations for an onsite team in Westford, Massachusetts. This Long-term Contract position focuses on creating a well-run, safe, and responsive office environment while partnering with site leadership to improve the employee experience. The role combines operational oversight, vendor coordination, budgeting, and space planning to support business needs and maintain high service standards.
Responsibilities:
• Direct daily office services across reception, workplace support, safety coordination, business continuity activities, food service, supplies, records oversight, recycling, and transportation-related needs.
• Partner with site leaders to strengthen the workplace experience by identifying service gaps, responding to employee feedback, and helping shape practical improvement plans.
• Coordinate local office initiatives with regional partners, ensuring site programs are aligned with broader standards and executed effectively.
• Build, track, and forecast operating budgets for the site, while working with finance and leadership teams to monitor spending and identify efficiency opportunities.
• Manage vendor relationships, service agreements, insurance documentation, and risk-related processes to ensure compliance with organizational and legal expectations.
• Support space utilization by maintaining occupancy planning and seating arrangements that reflect business priorities and workplace capacity needs.
• Oversee office moves, workspace changes, and site-related projects, including coordination with facilities and specialized service providers when required.
• Maintain readiness for emergency response and environmental health initiatives by helping administer site procedures, training coordination, and workplace safety practices.• Experience managing office operations, workplace services, or facilities support in a detail-oriented onsite environment.
• Strong ability to oversee budgets, interpret financial information, and contribute to cost control efforts.
• Demonstrated success working with vendors, service contracts, and compliance-related documentation.
• Effective leadership and stakeholder management skills, with the ability to collaborate across site teams and regional partners.
• Proficiency with Microsoft Excel, Word, and Outlook for reporting, communication, and operational tracking.
• Knowledge of workplace services such as reception, security coordination, onboarding support, and procurement activities.
• Strong planning and organizational skills with the ability to manage multiple priorities and maintain service quality.
