We are a financial/legal services company that operates at the crossroads where lawyers, seriously injured people, and insurance companies meet. We help people navigate some of lifes most difficult decisions and support the important work of our lawyer and insurer clients.


We currently have an opening for a Receptionist and Office Assistant. In this role, you are our clients first point of contact with McKellar and so much more. Youll provide our visitors and callers with the best first impression of McKellar. You'll work with all of our team members to make sure they have the operational support they need. Some days, youll assist with administrative tasks or at reception; other days, you may work on a marketing project or help as we host a meeting in our office. You would describe yourself as an organized, friendly, professional person who loves working as part of a team. You are efficient, enjoy learning new things, and have a desire to develop new skills. You have the ability to multi-task like a pro, the ability to stay calm under pressure, an innate curiosity, and a great sense of humour! This is a fully in-office position, with work hours from 9:00am - 5:00pm, Monday through Friday.


Responsibilities:
Screening and directing calls promptly to the appropriate individuals.
Greeting visitors in a courteous and prompt fashion.
Ensuring that all incoming material is forwarded promptly and accurately.
Copy and scan appropriate incoming mail and couriers; deliver outgoing mail to the postal outlet.
Assist with the administrative duties (e.g. drafting or typing correspondence, preparing forms, liaising with life companies, etc.) required for files.
Prepare domestic and international FedEx packages, and maintain the FedEx database client list.
Maintain accurate and full inventory of office supplies.

Manage kitchen operation (e.g. ordering kitchen supplies and food; managing lunch ordering, delivery, payment; unloading dishwashers)

Participate in training activities to gain additional knowledge and experience.
Other duties and projects as as assigned.


Minimum Qualifications:
You have superior interpersonal skills and the ability to deal with contacts in a professional manner.
You have excellent verbal communication and listening skills.
You are organized and able to work concurrently on multiple tasks with a superior attention to detail and a dedication to urgency.
You have the ability to work independently and with others and to be professional, no matter what the day brings.
You have an understanding of and commitment to confidentiality.
You appreciate the value of receptionist and administrative roles in a service-based company.
You are comfortable with standard computer programs (e.g. Word and Excel).
You are perfectly fluent in English fluency in any other language is a bonus!
