Job description

Position Overview


We are seeking a friendly, organized, and dependable Front Office Coordinator to serve as the first point of contact for customers and visitors. This role combines reception, administrative support, customer service, and estimate request coordination. The ideal candidate is professional, detail-oriented, and able to manage multiple tasks while providing exceptional customer service.


Key Responsibilities

  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Greet customers, vendors, and visitors.
  • Receive and process incoming estimate requests.
  • Receive and process incoming customer payments. 
  • Gather customer information and schedule appointments or consultations as needed.
  • Manage office communications, including emails, messages, and correspondence.
  • Maintain customer records and office files.
  • Assist with data entry, document preparation, and general administrative tasks.
  • Coordinate schedules and support office operations.
  • Process incoming and outgoing mail and deliveries.
  • Maintain a clean, organized, and welcoming reception area.
  • Support management and team members with special projects and administrative duties.


Qualifications


Required

  • High school diploma or equivalent.
  • Previous experience in customer service, reception, or administrative support.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with Microsoft Office and general computer applications.
  • Professional appearance and positive attitude.


Preferred

  • Experience in construction, contracting, home services, or a related industry.
  • Experience scheduling appointments and handling customer inquiries.
  • Familiarity with CRM or customer management software.
