Job description

Resident Management System (RMS) Clerk

McMillen, Inc. is seeking a Resident Management System (RMS) Clerk to provide administrative and project support for construction management, contract administration, and quality assurance activities on projects.

The RMS Clerk will work closely with the Quality Manager, Project Manager, and Superintendent to maintain project documentation, manage RMS data, support contract administration, and facilitate communication. The ideal candidate is highly organized, detail-oriented, and comfortable working with construction documentation and government contract requirements.

All Construction Division offers of employment are contingent upon the successful completion of a background check and drug screen. In accordance with client requirements, security clearance is required and is determined based on background check results.

This role will be a project-based position with an end date of April 2027.

Responsibilities:

  • Maintain and organize RMS document packages, including contracts, submittals, pay activities, correspondence, and QC reports.
  • Assist with contract administration activities, including tracking contract status, preparing progress payment requests, and maintaining project correspondence.
  • Support QC/QA requirements by assisting with daily QC reports, test result entry, milestone updates, and other required documentation.
  • Manage contractor and subcontractor submittals, including assignments, reviews, tracking, and transmittal logs.
  • Support project schedules, phase status updates, and RMS reporting for project monitoring.
  • Maintain RMS correspondence and Requests for Information (RFIs) to support effective communication between USACE, contractors, and subcontractors.
  • Assist project staff with RMS login, navigation, and basic troubleshooting.
  • Support the import and export of RMS data and assist with resolving system or data-entry issues.
  • Ensure project documentation and data are accurate, complete, organized, and maintained in accordance with applicable government and contractor requirements.
  • Provide administrative support to the CQM, Project Manager, Superintendent, and project team as needed.

Qualifications:

  • Experience working with Resident Management System (RMS) or similar construction management/project documentation software preferred.
  • Familiarity with construction contract administration and quality control/quality assurance processes.
  • Strong organizational and documentation skills with excellent attention to detail.
  • Ability to accurately enter, track, and maintain large amounts of project information.
  • Proficiency with Microsoft Office, particularly Excel and Word.
  • Ability to follow government, contract, and company policies and procedures.
  • Strong written and verbal communication skills.
  • Ability to work effectively with representatives, contractors, subcontractors, and internal project teams.

Compensation Package:

  • Pay Range: $31.00 โ€“ $40.00 (DOE)
