As a Quotation Specialist, you will be responsible for preparing, managing, and following up on quotations for our oil-filled transformers, including models designed for substations, power grids, ground-mounted installations, distribution systems, and technical facilities. This role is essential to ensuring that our quotations are both competitive and cost-effective. Your main responsibilities will include analyzing costs, collaborating with suppliers and sales teams, and, when necessary, negotiating contracts to support and drive sales.

Strategic Collaboration

  • Work closely with the Quotation Manager to align strategies and objectives.
  • Collaborate with internal teams to drive business growth in key markets, including investor-owned utilities, public utilities, construction, and renewable energy.

Preparation of Bids and Proposals

  • Analyze customer requests, specifications, and drawings to determine transformer requirements (e.g., voltage, rated power, cooling type, special features).
  • Develop competitive bids, quotations, and estimates, taking into account the best product range and relevant technical and commercial factors.
  • Write detailed technical descriptions of the proposed products and technologies.
  • Determine costs, including materials, labor, engineering, and project management hours.
  • Ensure that bids are properly documented, submitted on time, and include complete and accurate cost breakdowns.
  • Collaborate with engineering, sales, supply chain, and project management teams to gather all necessary technical and cost information.

Technical Expertise

  • Demonstrate a solid understanding of power transformer technology, its applications, and industry standards (e.g., CSA, IEEE).
  • Interpret complex electrical specifications, schematics, and construction drawings.
  • Identify the most suitable technology and product types to meet customer needs.
  • Provide technical support to sales account managers and clarify proposal details during meetings with customers.
  • Evaluate supplier bids to ensure compliance with specifications.

Sales and Financial Management

  • Ensure that quotes comply with the company’s pricing and discount policies while maintaining profitability.
  • Identify and assess risks associated with requests for proposals, quotes, and contracts.
  • Participate in internal risk reviews and negotiations.
  • Maintain an up-to-date record of wins and losses for project bids, including listed suppliers and subcontractors.
  • Track quotes and adjust them as needed to ensure orders are secured.

Customer Relationship Management

  • Respond promptly and professionally to customer inquiries.
  • Establish and maintain strong relationships with customers to understand their needs and ensure a positive experience throughout the sales process.
  • Ensure prompt follow-up on specialized or technical issues.

Process Improvement and Compliance

  • Promote process excellence to ensure cost accuracy and product alignment with project specifications.
  • Maintain accurate records of all quotes and sales activities in the company’s systems (e.g., CRM, ERP).
  • Ensure compliance with internal and external regulations, procedures, and guidelines.
  • Analyze the reasons for lost bids to identify opportunities for continuous improvement.

Minimum Qualifications:

  • At least 2 years of experience in the areas of estimating, sales support, bid management, or project management, preferably in the electrical industry.
  • A college degree in a technical field.
  • Excellent written and oral communication skills to draft clear and concise proposals and interact with clients.
  • Strong interpersonal skills to collaborate effectively with internal cross-functional teams and external clients/suppliers.
  • Ability to explain complex technical concepts to a non-technical audience.
  • Strong negotiation skills.
  • Strong organizational and time-management skills to handle multiple quotes simultaneously and meet deadlines in a fast-paced environment.
  • Ability to work independently and collaboratively as part of a team.
