Job description

Position Overview

Metalex Manufacturing, a precision aerospace and defense machining company, is seeking a highly organized and detail-oriented Inside Sales Support / Front Office Quotation Coordinator to join our team.


This role provides critical support to the Sales organization, working directly with the CEO, Director of Sales, and Quotation/Job Startup teams to ensure seamless communication, efficient quote processing, and exceptional customer support.


The Coordinator serves as a central hub between Sales, Quotation, Job Startup, and Customers, ensuring that requests, RFQs, VECRs, and customer visits are managed with pace and accuracy. This is a highly visible position requiring initiative, strong organizational skills, and the ability to thrive in a fast-paced, team-oriented manufacturing environment.


Key Responsibilities


1. Inside Sales Support & Planning

  • Partner with Sales and the CEO to plan and organize customer visits and sales trips.
  • Manage the Master Schedule for customer visits, ensuring agendas, objectives, and attendees are properly coordinated.
  • Support planning and visibility of future orders in AS400 to aid Sales, Shop, and Management in capacity planning.
  • Take ownership of special customer requests (expedites, manufacturability reviews, schedule updates, etc.) and ensure proper visibility and follow-up across Metalex.


2. Quotations & Proposal Support

  • Review incoming RFQs, specs, and customer requirements; organize and distribute to quotation team.
  • Operate and maintain customer portals for RFQ submissions and updates.
  • Complete and manage customer documentation such as NDAs, surveys, certifications, and compliance forms.
  • Maintain quotes in AS400, track throughput issues, and communicate delays or updates directly to customers.
  • Participate in continuous improvement initiatives to streamline quotation processes and tools.


3. Quote Follow-Up & Competitive Feedback

  • Ensure consistent and timely follow-up on submitted quotes using Salesforce and internal reports.
  • Contact customers directly when needed to obtain feedback or status updates.
  • Lead weekly quote feedback review meetings and maintain historical feedback files to improve win rates.
  • Document and share customer feedback with Sales, Quotations, and Leadership.


4. Sales Reporting & Metrics

  • Assist in preparing and publishing Monthly Sales Metrics and KPIs, including:
  • YTD Orders vs. Goals
  • Orders by Market Segment
  • Quote-to-Win Ratios
  • Customer Visit Reports
  • Track and report on VECR activity, open quotes, and no-charge VECR decisions.
  • Support development of additional sales reports and dashboards in AS400 and Salesforce.


5. VECR Process Management

  • Monitor and process VECRs (Value Engineering Change Requests) received by email.
  • Maintain VECR spreadsheet and track open, sent, and completed VECRs.
  • Ensure VECRs are communicated to customers quickly and documented in AS400.
  • Coordinate weekly review of VECRs with Sales and Quotation teams.


6. Customer Support & Account Coverage

  • Serve as the primary contact for urgent customer calls when Sales team is off-site.
  • Support secondary and house accounts as assigned, responding to RFQs, delivery updates, and cost reporting requests.
  • Maintain Customer open order reporting requirements.
  • Respond to initial inquiries from new customers when Account Owners are unavailable.


7. Front Office & Day-to-Day Operations

  • Create and distribute daily Out-of-Office report and VECR task list.
  • Support CEO preparation for daily customer visits.
  • Coordinate the completion and distribution of weekly Front Office communication reports.
  • Support use of Salesforce as a system administrator to improve reporting, customer tracking, and quote visibility.
  • Communicate key issues during daily morning meetings and night notes to maintain transparency.


8. Job Startup (Backup Support)

  • Provide backup support to Job Startup team, including release of Specific Customer orders.
  • Process PO changes and distribute updates internally.
  • Request and follow up on customer-furnished material, gages, and models.
  • Review open issues lists and Jobs Needing Paperwork Report for accuracy and timely resolution.


Qualifications

  • Bachelor’s degree in Business, Communications, or related field (preferred).
  • 3+ years of experience in sales / Quotation support, inside sales, or front office coordination (manufacturing/aerospace industry experience preferred).
  • Strong organizational and project management skills with attention to detail.
  • Proficiency in Microsoft Office Suite and ERP/CRM systems (AS400, Salesforce preferred).
  • Excellent communication and customer service skills, with the ability to represent Metalex professionally to customers.
  • Ability to manage multiple priorities, work independently, and collaborate with cross-functional teams.
  • Strong analytical skills and ability to prepare accurate reports and metrics.
  • High level of integrity, confidentiality, and accountability.
