Job description

If you have a passion for people, a knack for chat, an ear for listening, and share our vision to make a patient’s smile experience an extraordinarily wonderful event... we have an ideal career for you! Drive your vivacious personality and “all-around” administrative skills into a stable industry that offers meaningful work, positive relationships, full-time hours over a 4-day work week, while enjoying the coolest of technology!

Quest Orthodontics, the highly reputable, private orthodontic practice of Dr. Arjun Patel and Team is looking for two delightful co-workers to add their smile and expert abilities to our group to manage our busy phones! Tasks will include providing a red-carpet warm welcome for calling patients and parents, giving patient instructions, scheduling appointments, and helping emergency patients quickly, and other telephone-centered tasks that leave callers grinning from ear to ear.

What defines our practice? The people and our mission! We are a true team whose members share the value of doing our absolute best for each patient and parent that entrusts us with their care. Our patients become friends while we transform smiles!

Could this be the career you are seeking? Are you seeking fast-paced work with that “just right” level of mental challenge? How about a career that not only appreciates, but also capitalizes your friendly personality and velvety verbal skills? Do you enjoy providing authentic, warm hospitality and engaging in conversations with children and adults? Are you ready to be busy all the time, utilizing the coolest technology, managing meticulous details, and working in a team-based setting? Did we just hear you say “YES!” out loud? Then, let us tell you more about this extremely important team position that we refer to as a Communications Coordinator!

After training, what does a Communications Coordinator do? Our Communications Coordinators use their excellent communication and administrative skills to make fabulous experiences for patients and parents. Throughout the day, in perfect timing with your co-workers, you’ll toggle between various phone-tasks that include answering orthodontic-related questions (be ready to become a smile expert!), scheduling appointments, obtaining insurance information, touching base with a parent whose payment was not yet received, and cross-training in a myriad of career growth tasks. This position is well-suited to someone who sees themselves as a Master Multi-tasker. As you can likely imagine, the day goes by quickly!

How do new admin members of Quest Orthodontics learn industry specifics? Easy answer! They are taught by the amazing team that makes up our workgroup! New team members are introduced to new material, layer by layer. You’ll catch on so fast... it’s bound to make you smile!

What are the qualifications to apply?

  • Pleasing voice tone and articulate speaking style.
  • Fast keyboarding and solid computer skills.
  • Customer service mindset and experience: Empathy, kindness, patience.
  • Cheerful personality and a solid sense of humor!
  • Remarkably “tuned in” listening skills.
  • Leadership skills to guide patients into best-fit appointment times.
  • Passionate desire to work in a field that helps others.
  • Excellent references: Stable, reliable, and dependable.
  • Desire to work a permanent, 4-day workweek position: Friday is OFF for a long weekend, EVERY weekend!
  • Stable work history that utilized excellent customer service communication skills on the phone and face-to-face. We often communicate with parents who have little time and who can be stressed as they are stretched between their children’s activities. We are seeking someone who can be empathetic and kind, while also being the leader in the parent-staff relationship to guide the parent into office policies that make everyone’s day easier.
  • BA/BS or credits earned with studies in Communications, Healthcare Administration, Psychology, Business, Marketing, Public Relations, other related “people-centered” field.
  • Initiative to study and quickly learn terminology, processes, and software that is industry specific. Prior experience in the healthcare field is valuable but not required. We mostly value hiring the right person; we can train the technical aspects of this position.
