Job description

Position Title: Quality Assurance Assistant

Reports To: Quality Engineer & Supervisor

Supervises: None

Classification: Hourly, non-exempt, non-union

Position Summary

The Quality Assurance Assistant (QA Assistant) is responsible for executing documentation preparation and customer approval workflows to support manufacturing and quality operations. This role ensures that required documentation, certification packages, and customer submittals are completed accurately, on time, and in compliance with internal procedures and customer requirements. The QA Assistant plays a critical transactional role within the Quality organization by managing document preparation (WC 970) and customer approval workflows (WC 971), enabling Quality Engineers to focus on technical decision-making, corrective actions, and quality system governance. The position works closely with Quality Technicians, Quality Engineers, Metallurgy, and Engineering to gather required information and ensure complete and accurate documentation.

Essential Duties & Responsibilities:

  • Prepare quality documentation packages to support production and customer requirements
  • Compile and organize required documentation, including: Certifications, inspection reports, material documentation, and supporting technical records
  • Ensure documentation is complete, accurate, and formatted per internal and customer standards
  • Verify that all required documentation components are included prior to submission
  • Submit documentation packages to customers for approval
  • Track approval status and follow up as needed to ensure timely completion
  • Maintain records of submissions, approvals, and revisions
  • Coordinate responses to customer documentation-related requests
  • Ensure all required inputs are obtained to complete document packages
  • Escalate missing or unclear information to appropriate stakeholders
  • Maintain organized records of documentation and approvals
  • Enter and update documentation status within ERP/QMS systems (e.g., Plex)
  • Ensure traceability and accessibility of documentation
  • Follow established procedures, templates, and workflows
  • Identify inefficiencies or recurring issues in documentation processes
  • Support continuous improvement efforts related to: document cycle time, first-pass quality, and workflow consistency
  • Additional duties as assigned.

  • Minimum of a high school diploma or GED equivalent and at least two years of related experience and/or equivalent education & experience
  • Knowledgeable in ISO 9001 Quality Standards, AS9100 preferred.
  • Previous working experience with document control
  • Demonstrated knowledge of document preparation is required, AS9102 is highly desired.
  • Previous experience using an ERP system is desired, preferably PLEX.
  • Proficient in Microsoft Excel, Word, Outlook.
  • Demonstrated problem solving skills and excellent organizational and communication skills.
  • Ability to multi-task.
  • Position is required to be on-site, occasional work from home with supervisor approval is available.

Working Conditions:

This position is designed to work full-time. Days and hours of work are typically Monday through Friday, 8:00 a.m. to 5:00 p.m. An alternate schedule may be arranged or assigned based on the business demands, nature of duties performed, and other factors. Occasional flexibility to work evenings or weekends may be required as job responsibilities demand. Regular work, after hours and/or weekend work may be performed remotely, if the capability exists. This position mainly operates in an office environment during work hours, but may be expanded to assist and support employees in other departments within the Company; Occasional exposure to production equipment and machinery. The employee will manage multiple priorities daily and may be interrupted frequently to meet the needs and requests of employees. The environment may be busy and noisy. All required personal protective equipment is provided.

Physical Demands:

While performing the duties of this job, the employee will spend most of his/her time sitting using computers and standard office equipment such as phones, photocopiers and fax machines. Occasional moving and/or lifting of 10 pounds, stooping, bending and reaching with hands and arms. While performing these job duties, the employee is regularly required to see, talk, and hear.
