Job Description

The QMS Coordinator supports the administration, maintenance, and continuous improvement of Quality Management System (QMS) programs, systems, and compliance activities. This role provides operational and systems support across certifications, regulatory registrations, digital platforms, and KPI tracking, ensuring that documentation and resources are accurate, up-to-date, and easily accessible to relevant stakeholders. Responsibilities

  • Administer and maintain Quality Management System (QMS) programs, systems, and tools to support ongoing quality and food safety initiatives.
  • Own system and database administration activities, including management of SharePoint sites and Intelex system modules.
  • Oversee the QFS SharePoint site content and structure to ensure information is accurate, organized, and easily accessible.
  • Serve as the primary administrator for database management, including configuration, maintenance, and user support.
  • Coordinate cross-functional administration activities, including integration projects and system optimization efforts.
  • Support maintenance, troubleshooting, data accuracy, and functionality of QMS systems and digital platforms.
  • Coordinate third-party certification programs and maintenance activities for certifications such as Kosher, Organic, Non-GMO Project, and Gluten Free.
  • Track documentation and renewal timelines and support audit preparation activities for certification and regulatory programs.
  • Serve as the primary or backup liaison with certification agencies, auditors, inspectors, and accrediting bodies.
  • Complete regulatory compliance activities, including facility registrations and license and certification renewals.
  • Coordinate on-site facility inspections as required to support regulatory and certification compliance.
  • Act as the KPI data coordinator for quality and food safety functions, ensuring accurate and timely reporting.
  • Prepare and distribute monthly KPI communications with a focus on accuracy, clarity, and timeliness.
  • Compile data from multiple sources to support reporting of QMS and food safety performance metrics.
  • Consolidate and optimize data sources as part of continuous improvement and automation initiatives.
  • Develop and maintain tools and processes to track trends, identify gaps, and monitor follow-up actions related to QMS performance.
  • Facilitate the receipt, documentation, and communication of PCB customer complaints in a structured and timely manner.
  • Collaborate with customers, sales, consumer affairs, and other resources to support effective complaint management.
  • Work closely with manufacturing locations to complete investigations and provide timely responses to customers.
  • Upload and gather documents and route incidents for review and approval by cross-functional teams.
  • Maintain organized filing systems for key documentation, both electronic and physical, to support audit readiness and easy retrieval.
  • Perform other related duties as assigned to support the Quality Management Systems team and broader quality and food safety initiatives.

Additional Skills & Qualifications

  • Bachelor's degree in Food Science, Nutrition, Biology, Chemistry, or a related field of study.
  • 1–2 years of experience in documentation management or a related technical experience.
  • Proficiency with business applications and systems, including Microsoft Office, Adobe Acrobat, Intelex, Tableau, and Smartsheet.
  • Experience developing dashboards, reports, and system templates to support KPI tracking and performance reporting.
  • Foundational knowledge of Quality Management Systems (QMS), Quality & Food Safety (QFS), and regulatory concepts.
  • Ability to manage and maintain document control, labeling, and specifications in a regulated environment.

Work Environment

This is a 6-month contract-to-hire opportunity with a standard Monday–Friday schedule from 8:00 AM to 5:00 PM, with flexibility to start between 7:00 AM and 9:00 AM. Local candidates follow a hybrid work model with three days onsite and two days remote, with remote work typically on Mondays and Fridays and onsite work Tuesday through Thursday at the Lakeville office. Remote candidates may be considered based on experience and qualifications. The role reports into the Quality Management Systems function and partners closely with the QMS team, including another team member in a similar function, while supporting broader Quality & Food Safety initiatives across the organization. You will work extensively with digital business applications and QMS platforms such as Microsoft Office, Adobe Acrobat, Intelex, Tableau, Smartsheet, and SharePoint in a professional office setting that emphasizes collaboration, continuous improvement, and career development.

This is a Contract to Hire position based out of Lakeville, MN.

Pay and Benefits

The pay range for this position is $25.00 - $31.73/hr.
