Job description

JOB SUMMARY

Candidates will support purchasing/warehouses with new vendors and existing vendors. Candidates should have strong organizational skills and attention to detail, excellent communication skills, both written and verbal, ability to multi-task and handle priorities under pressure, and strong customer service skills with a focus on providing exceptional service for our internal customers (internal departments).

DUTIES AND RESPONSIBILITIES

  • Support purchasing warehouses with new vendor setup for all Facilities/Plants.

  • Maintain/record keeping (Document Control), follow up with vendors on getting the correct certificate of insurance, W-9, and NDAs.

  • Coordinate with varies department such as HR, Safety, and QA for New Vendor on Boarding, SDS, required training, and new item samples testing and approval.

  • Identify and submit request(s) for new item number(s).

  • Complete credit applications with supporting documentation for Director of Procurement's signature.

  • Support Warehouse Manager and Purchasing Agents with internal departmental requests.

  • Handle all requests for FedEx/UPS deliveries incoming and outgoing.

  • Support/follow up on job work orders and requisitions from internal departments with issues, questions and concerns.

  • Maintain and/or export excel sheets/reports for purchasing and warehouse.

  • Support with internal research on new/existing vendors that can support our company needs.

  • Responding to the vendor's general questions and concerns, provide the vendor with our documents as requested.

  • Getting with various internal departments to help identify stock items vs. one off buys.

  • Organize and maintain a central filing system, make photocopies, fax, and file documents as requested.

  • Assist with setting up and coordinating deliveries plant to plant, meetings and luncheons, including ordering supplies, managing calendars, and managing conference room schedules.

  • All other duties and special projects asassigned by supervisor or manager

EXPERIENCE AND REQUIREMENTS

  • High school diploma or equivalent required; further education in Business Administration or related field is a plus.

  • Minimum of 2 to 4 years of experience in a Purchasing Warehouse Assistant role within the Food & Food Processing industry.

  • Experience in handling both inbound and outbound calls and email correspondence professionally and timely.

  • Proven ability to manage data entry tasks accurately and efficiently.

  • Ability to work independently, with minimally supervision

  • Demonstrated ability to work collaboratively in a team environment.

  • Proficiency in Office 365 (Excel, outlook, PowerPoint and word processing)

  • Ability to work in a warehousing office environment

  • Ability to work 6+hrs utilizing computer systems.

  • Ability to maintain regular attendance and punctuality

  • Experience with SOP systems, purchasing programs
